Position Summary

The Mail List Processor II is responsible for the mail list management for clients. The Mail List Processor II will use Postal Processing Programs to prepare data for mailing and produce inkjet mailing proofs for client review.

  • Prepares mail lists for mailing by using appropriate mailing software (BCC), select proper template in program, import data, CASS certify, NCOA, De-duplicate, verify addresses are correct and in proper format, create track and trace files, and prepare mail.dat folder.
    1. First class presorts
    2. Standard mail presorts
    3. Periodical presorts
    4. Combined weight/manifested mailings
  • Submit .dat file to USPS software to confirm it is proper class (first class, standard, marketing, etc.), print proper reports to take to the post office.
  • Manipulates data by creating a formula and script inside of mailing software to conform to client customization when client supplies variable data.
  • Work closely with Mailing Supervisor to prepare files for production answer any questions, etc.
  • Responsible for communicating with Variable Data Processing team to alert them of mail list data being ready for processing.
  • Upload file to appropriate mailing machine for mailing department and update Monarch for counts and label layout.
  • Understands postal pre-sort methods and prepares files for optimization.
  • Records time spent on job by clocking in and out of Monarch Shop Floor Data.
  • May attend internal launch meetings to offer input on mailing capabilities for various clients and jobs.
  • May assist in other departments on an as needed basis.
  • Responsible for following safety procedures in the plant including, but not limited to, Lock-out-tag-out, Hazard Communication, OSHA rules and regulations.
  • Follow and comply with all safety and work rules and regulations. Maintain departmental housekeeping standards.
  • Maintains the highest level of security and confidentiality as defined by company policy.
  • Other duties as assigned by the Director of Operations, Printing & Mailing and/or President / CEO.
Minimum Job Requirements:
  • HS diploma or GED preferred. At least 2-3 years of relevant work experience working with mail lists and mailing software program.
  • Prefer mail certification training.
  • Prefer Mail Professional Certification
  • Prefer Mail Professional Advanced Certification
  • At least 2 years of experience working with mailing lists preferably in a printing environment.
  • At least 2 years of hands-on experience working with professional mailing software such as BCC Mailing Manager and/or similar software.
  • Must possess a very clear understanding of USPS requirements for presort and NCOA.
  • Strong attention to detail, possesses a high level of accuracy.
  • Proficient in Microsoft Office Suite, especially Microsoft Excel.
  • Complete all required training courses upon hire and annually thereafter.
  • Maintain compliance with all company policies and procedures.
  • Exclusion from the System for Award Management (SAM) List of Excluded Individuals and Entities (LEIE) prior to hire and ongoing throughout their tenure at the company. Inclusion in the LEIE is grounds for immediate dismissal.
