**Description**

**JOB FUNCTION**:

Performs all tasks necessary to coordinate and finalize incoming quotations, enter domestic sales orders, and provide administrative support to the domestic sales department.

**QUALIFICATIONS:**

A. Education / Experience

1. High School diploma or general education degree (GED).

2. Vo-Tech School training (administrative).

3. Customer service experience.

4. Data/order entry experience.

**DESCRIPTION OF DUTIES:**

A. Primary Duties

1. Inside sales, order entry and customer service.

2. Process incoming domestic sales orders for units and parts, change orders, and send out order acknowledgements through NuAire's ERP system.

3. Generate quotations from spare parts as requested by customers in NuAire's CRM system.

4. Research obsolete and special parts as needed.

5. Scan all orders for transfer to NuAire's document management system.

6. Enter replacement and return unit information.

7. Create and maintain detailed work instruction for this position, keeping instructions up-to-date, and issuing electronic copies to your supervisor each time a change is made. All revisions are to be dated.

Secondary Duties

1. Preparation of sales quotations in NuAire's CRM system and associated software. Update quotations and opportunities in the CRM system as may be needed.

2. Provide back-up for the Receptionist Desk.

3. Other duties as assigned.

B. Knowledge / Skill Set

1. Computer skills / knowledge of Microsoft Office; Outlook, Word, Excel, etc.

2. Ability to learn new systems and software such as SalesForce, LN, and iManage.

3. Customer Service attitude with excellent communication skills; telephone and e-mail.

C. Responsibility

1. Work with minimal amount of supervision.

2. Keep complete and detailed records of all work according to established departmental procedures.

3. Assist others in department where needed.

4. Suggest methods for streamlining and improving procedures.

5. Handle all assignments in a timely manner.

6. Follow all safety rules; including using all recommended personal protection equipment.

7. Regular attendance and punctuality.

**ESSENTIAL FUNCTIONS:**

A. Mathematical Skills

1. Ability to add, subtract, multiply and divide using whole numbers, common fractions and decimals.

2. Ability to calculate amounts such as discounts and commissions.

B. Reasoning Ability

1. Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.

2. Ability to deal with problems involving a few concrete variables in standardized situations.
