Description

We are a small but fast-growing law firm that focuses on bringing clients peace of mind in the areas of Estate Planning, Special Needs Planning, Trust Administration, and Probate located in Placentia, CA. We are looking for a File Clerk looking to grow and be part of a great team doing great work! This is an in-office position for 28-30 hours per week but could become a full-time position.

Our ideal candidate will be punctual, reliable, and have tremendous organizational skills. Are you familiar with office equipment and technology? Our next team member is.

Additionally, our team members have excellent written and verbal communication skills. We believe in the team approach and our office is a team environment, so if you are not a team player, this is not the job for you.

Responsibilities

In addition:
Prepare outgoing mail (addressing envelopes, assembling document packages)
Utilize office equipment such as photocopier, printer, scanner, and computer
Assemble documents in accordance with established procedures
Assist with client communications and client relations
Able to prioritize tasks and effectively manage time performing office duties as assigned
Work collaboratively with the team, including staff members at all levels of experience and knowledge
Adhere to the Firm's policies and procedure
Schedule meetings
Onboard clients
Scan documents
Manage the filing system and database of documents
Comply with current document retention policy and make sure proper documents are retained or destroyed
Examine files regularly to ensure their location is correct, and determine is they should be kept, stored, or destroyed
Oversee proper file room procedures by reviewing file contents to determine the ideal location and logging information into the database
Ensure confidentiality of documents is maintained and track chain of custody

Qualifications

Professional demeanor with a desire to learn
Skilled in basic computer software and adept at learning to use new programs
Familiarity with common office procedures, including filing and handling mail
Shows great interpersonal skills and excellent communication
Great ability to focus under pressure and the willingness to do what needs to be done
Proficient attention to detail to ensure all tasks are completed to an excellent standard
Integrity and discretion when working with confidential documents and client matters
High school diploma or equivalent is required
Must be comfortable using various computer programs and updating our database
Must have a proven track record of organizational and archiving skills
