SUMMARY STATEMENT & PURPOSE:

The clinical appointment scheduler is responsible for providing an exceptional customer service experience when answering incoming telephone calls and either scheduling an appointment, routing the call, or taking a message for physicians, management, or staff. The accurate scheduling of appointments is completed in accordance with protocols and insurance guidelines. This position ensures the patient experience is positive and all information provided by and given to the patient during the call is accurate. This position requires the ability to work any shift.

ESSENTIAL DUTIES & RESPONSIBILITES:

  1. Answers incoming calls in a friendly manner using proper telephone etiquette. Conducts overhead paging for urgent requests.
  2. Schedules patients per protocol over the phone for appointments with appropriate providers. Follows scripting as directed by the scheduling workflow.
  3. Utilizes scheduling protocols and insurance verification spreadsheet to ensure appointments are scheduled correctly.
  4. Meets benchmarks for scheduling metrics in order to meet volume requirements.
  5. Properly identifies patients requiring triage services and routes calls per protocol.
  6. Takes, sends, and receives messages appropriately through the electronic health record (HER) to physician areas for follow-up. Takes, sends and receives messages by email for non-patient related calls.
  7. Requests documents and follows up on coordinating interpreter requests.
  8. Assists with completing Return to Clinic tasks, patient recalls and repatriation tools.
  9. Distributes interoffice mail, charts, and maintains supplies as needed.
  10. Participates in monthly staff meetings and other skill or business-related education as required.


Requirements

MINIMUM QUALIFICATIONS:
  • Possess and maintain computer skills to include working knowledge of Microsoft Office Suite and ability to learn other software as needed.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.

PREFERRED QUALIFICATIONS
  • Previous experience in scheduling, registration, or medical office setting

Pay Scale: $17.50 - $26.26 per hour
