We are seeking part-time support on our Events and Marketing team. As the Events and Trade Shows Specialist, you will be responsible for planning, coordinating, and executing all aspects of our events and trade shows. This includes working with vendors, managing logistics, and ensuring a successful presence at each event. Your role will involve collaborating with various internal teams, such as marketing and sales, to align event objectives with business goals.

Responsibilities:

  • Event Planning and Coordination: Plan, coordinate, and execute trade shows and events from start to finish, including booth design, logistics, scheduling, and staffing.
  • Vendor Management: Source and manage relationships with vendors, including booth suppliers, catering services, and transportation providers.
  • Budget Management: Work within budgetary constraints to plan and execute events while maximizing ROI.
  • Promotional Strategy: Collaborate with marketing to develop pre-event, on-site, and post-event promotional strategies to drive brand awareness and lead generation.
  • Booth Management: Oversee the setup and teardown of booths, ensuring they are visually appealing and in line with brand standards.
  • Engagement Activities: Create and implement engagement activities to attract and retain attendees, such as giveaways, contests, or interactive displays.
  • Lead Generation: Work closely with sales to establish lead capture processes and ensure seamless handoff of leads post-event.
  • Post-Event Analysis: Evaluate event outcomes, including lead generation, attendee feedback, and ROI, and provide actionable insights to improve future events.
  • Compliance and Safety: Ensure all events comply with safety regulations and industry standards, including any specific protocols related to health and safety.
  • Travel Coordination: Manage travel arrangements for staff attending events and ensure logistical requirements are met.

Qualifications:

  • Bachelor's degree in marketing, communications, business, or a related field.
  • Minimum of 3 years of experience in planning and executing trade shows and events, preferably in the benefits administration or related industry.
  • Strong project management skills, with the ability to manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with internal teams and external partners.
  • Proficiency in event management software and other related tools.
  • Strong attention to detail and ability to work well under pressure.
  • Willingness to travel as required for events and trade shows.
  • Flexibility to work outside of regular hours during events and trade show days.
  • Ability to work independently and as part of a team.
