Administrative Assistant Responsibilities:



  • Oversees the day-to-day operation of the front desk.

  • Provides administrative support to clerical and field employees.

  • Answers and directs incoming calls, emails, and faxes.

  • Organizes, files, and maintains agency records, including personnel and member records.

  • Answers questions from members, social workers, and staff enthusiastically and professionally

  • Records and provides billable units to the billing department.

  • Communicates effectively with all staff and participates in staff meetings.

  • Schedules appointments for members and assigns them to the correct staff.

  • Collaborates with case managers to coordinate members care and payment.

  • Ensures discharging members have the required support in place.

  • Tracks inventory of office supplies and places orders when necessary

  • Coordinates travel arrangements

  • Records encounter notes

  • Receives, sorts, and distributes mail.

  • Ensures reception area is clean and welcoming.

  • Welcomes clients and guests with polish and professionalism.

  • Other administrative duties as assigned.



Qualifications:



  • Degree in Business Administration or related field is preferred but not required. Depending on work experience

  • Minimum of 1 year of administrative experience

  • Excellent written and verbal communication skills

  • Proficient in MS Office including Outlook, Word, and Excel

  • Ability to work independently as well as a member of a team.

  • Strong verbal and written communication skills
