Position Goals:
Establish a positive, warm and welcoming introduction to the School by embracing and embodying OCS Mission and Values at all times. Assure the smooth and efficient operation of the School office as directed by the building-level Principal/Dean. Provide positive support to all Odyssey Charter School staff and students.

Essential Duties and Responsibilities:

  • Establish a positive, welcoming environment at all times
  • Provide professional courtesy to all students, administration, staff, parents, guest and visitors
  • Comfortable working directly with and supervising students in the high school setting
  • Organize and maintain an open and welcoming Front office space for the School
  • Maximize efficiencies and effectively handle a variety of tasks for the administration, faculty, students, and parents of the school in a timely manner meeting established deadlines
  • Promptly greet visitors, answer telephone calls and emails in a pleasant and efficient manner, and communicate effectively in routine, sensitive, and confidential matters
  • Efficiently perform administrative office tasks of a varied nature meeting all established deadlines, that will require a thorough knowledge of the rules and regulations of the school and school system and the frequent exercise of independent judgment within the scope of the authority granted by the Principal/Dean
  • Responsible for prompt sorting and distribution of US mail to campus if assigned to main building where the post office delivers campus mail
  • Responsible for timely distribution of daily mail to assigned building
  • Coordinate and issue approved School correspondence meeting established deadlines under the guidance of the building level Principal/Dean
  • Respond to routine requests for information in a timely manner
  • Efficiently maintain confidential student records in accordance with State of Delaware DOE guidelines
  • Transfer student records in accordance with State of Delaware guidelines within established deadlines
  • Accurately maintain daily student attendance log/records, meeting all established deadlines and escalating issues to Principal/Dean when appropriate
  • Clearly communicate to staff and students through the school intercom systems in a manner that always exudes positivity and emulates OCS' mission and vision
  • Order and maintain office supplies while keeping accurate and thorough record of each department's supply orders for use by the Business Office in proper payment coding
  • Provide instructional materials and supplies
  • Efficiently complete work assigned by administration in a timely and accurate matter
  • Participate in school activities and serves as a valuable team member
  • Effectively process applications for the lottery while meeting all deadlines
  • Efficiently process and maintain enrollment for unit count meeting all deadlines, and effectively communicating with Leadership and staff as appropriate
  • Timely escalate/communicate potential issues to Principal/Dean as appropriate
  • Complete any assigned duty/tasks as directed by Principal/Dean in an appropriate and timely manner
  • As an ambassador of the School, incumbent is expected to maintain confidentiality and discretion at all times
  • Any additional duties as assigned

The Ideal Candidate will possess the following:
Qualifications:
  • High School Diploma
  • College courses/degree in Computers, Administration or relevant field preferred
  • Experience handling student enrollment
Minimum Requirements:
  • At least 2 years of experience working in an urban, K-12 school environment required
  • An outstanding record of supporting the needs of school staff, teachers, students and their families with a strong commitment to customer service
Knowledge, Skills, and Abilities:
  • Experience in an urban, K-12 School setting with diverse population
  • Proven customer service skills
  • Experience with Chromebooks and Google Docs preferred
  • Proficient office skills including expert use of Microsoft office, intercom system, telephone
  • Ability to remain positive in the face of adversity
  • Demonstrated ability to multi-task
  • Ability to be a team player, follow directions, meet multiple deadlines, handle interruptions and switch focus as needed
  • Excellent verbal and written communication skills
