Position Summary

The Patient Services Representative acts as the first point of contact for patients when they enter the site and performs all clerical duties related to patients during both the check-in and the check-out process. The Patient Services Representative is responsible for monitoring appointments and patient flow to minimize wait times, answer inbound calls, schedule appointments, collect data, complete reports, and perform all duties as assigned.

Duties and Responsibilities

Patient Services:

  1. Provides efficient, high-quality service to patients who arrive for appointments or who telephone or visit in person to request appointments or information on tests and procedures, bills and charges, referrals, and other matters.
  2. Greets and accurately registers patients in the electronic medical record (EMR) verifying essential billing and demographic information.
  3. Coordinates scheduling of patient appointments (phone and in-person requests) accurately and efficiently.
  4. Answers multiple incoming telephone lines, accurately determining the appropriate recipient of the call or message and referring them promptly and appropriately.
  5. Distributes communications accurately, based on practice protocol. Includes pagers, faxes, emails.
  6. Schedules future appointments and requisitions, laboratory tests, radiology procedures and other special diagnostic tests as needed.
  7. Attends to waiting patients in reception and ensures that they are seen in a timely manner or are promptly notified of unexpected delays.
  8. Accurately identifies type of insurance from card, understands different types of payers, and verifies eligibility if necessary.
  9. Performs other related duties as required.
Billing Services:
  1. Ensures entry at time of service of billing information on the patient and payer and accurate follow-up on missing information.
  2. Reviews encounter forms for accuracy and completeness, checks with physician for missing information.
  3. Enters patient charges into the EMR system according to established policies and procedures.
  4. Batches encounter forms and balances charges.
Medical Record Services:
  1. Upholds standards of PrimeCare for accurate and timely medical records.
  2. Releases information from records, only according to corporate policies and procedures.
  3. Ensures the availability of properly prepared patient medical records, daily schedules, and related forms.
  4. Maintains medical record including loose filing and re-filing of charts daily. Pull and prepares charts for appointments.
  5. Maintains confidentiality around all patient information, both in front of each patient being treated and around other patients in the area.
Physical Demands
  1. Must be able to remain in a stationary position 50% of the time.
  1. Must be able to move around the clinic site 50% of the time.
  2. Constantly operates a computer, computer printer, copy machine, and telephone.
  3. Occasionally positions self to maintain exertion of physical strength to move objects of 10 pounds from one level to another.
  4. Must be able to transport from one site to another.
  5. Must be able to cover other shifts as necessary.


Required Knowledge, Experience, or Licensure/Registration
  1. Two (2) years previous medical office experience (preferred).
  2. Previous computer experience, particularly with an EHR and/or Microsoft Office products.
  3. Bilingual English/Spanish or Emglish/Polish
  4. Strong communication, customer service, and interpersonal skills.
