Job Summary / Basic Function

  • Acts as receptionist/front-line customer service including greeting visitors, screening telephone calls, answering written and verbal inquiries, and recorded messages. Processes and distributes mail and other communications confidentially within the department. Responsible for providing services to supervisors, students, employees, and the public with patience and personal respect.
  • Provides office support for facilities management. Enters requisitions for PO and SPC into Ariba. Takes care of Direct Pays for goods and services. Helps to ensure that all monthly utility usage, chargebacks, Penn State report, and Sightlines reports are up to date. Clerical support for construction projects and all it that entails, develops and maintains financial tracking spreadsheets, processes invoices, reviews applications for payment, analyzes all data for contract accuracy, receives and organizes project data, maintains facilities archival records. Clerical support for energy, develops and maintains spreadsheets to track energy consumption. Reviews and verifies the accuracy of utility invoices. Communicates with utility companies to resolve inaccuracies and errors. Directs questions and relays information to the appropriate personnel.
  • Provides backup for the CMMS system with data entry and running reports.
  • Provides support for Construction Projects. This is to include scheduling, data retrieval, meeting minutes, reporting, etc.
  • Data entries into the Facilities Server that help support the facilities operation.
  • Maintain Archive, construction records, drawings, operation manuals, and training videos. Add new data, organize and digitize existing information.
  • Aid the Mail Room and Store Room as needed.
  • Provide support in the student employment process.

Required Skills, Knowledge & Abilities

Minimum of Education / TrainingRequired Education Summary

One year as a Clerical Assistant 2 (commonwealth title); or one year of moderately complex clerical experience; an equivalent combination of experience and training.

Preferred Qualifications

Additional clerical experience, particularly in a higher education environment; proficiency in Microsoft Office Suite; experience with Banner or SAP Financial Software.
