Partners For Quality Inc. is a private, non-profit social services organization based in Robinson Township with a satellite office in the East Hills area. We are the administrative parent company to 5 subsidiaries and are responsible for the Fiscal, Payroll, HR, IT and support services to each. Our subsidiaries include Allegheny Childrens Initiative, Citizen Care, Exceptional Adventures, Milestone Centers and the PFQ Foundation. Through these subsidiaries, we provide community based supports and services to adults and children with intellectual disabilities and behavioral health challenges in Allegheny County.

Responsibilities:

The Front Desk Administrative Assistant is responsible to the Chief Operating Officer for representing the organization in a welcoming and professional manner to all staff, people supported, job applicants, and visitors to the Clever Road building, and to those who call Partners For Quality on the telephone. This position provides assistance to all these populations in person and by phone.

In addition, the Front Desk Administrative Assistant supports the Human Resources and Fiscal departments, the CEO, CFO, COO, CHRO, COS and others as needed in various capacities that may include data entry, administrative and project-based tasks, scheduling travel, arranging meetings, handling information requests, and preparing reports and correspondence. All responsibilities shall be completed in a manner consistent with the Vision, Mission and Values of Partners For Quality, Inc.

  • Greet all staff, people supported, visitors, and job applicants as they enter the Clever Road building.
  • Answer incoming phone calls and route to appropriate parties within the building.
  • Support executive team, Human Resources, Fiscal, and any other PFQ area as needed with written communication, data collection and analysis, presentation development, organizational charts, development/deployment/data analysis of surveys, and other activities as needed.
  • Assist other administrative staff with special support needs as may be required.
  • Monitor inventory of office and kitchen supplies, reorder as needed, and keep supplies organized and replenished.
  • Monitor and replenish water bottles and snacks in conference rooms and for new hire classes, and reorder as needed.
  • Maintain the reception area and keep it presentable for all visitors.
  • Manage incoming and outgoing USPS and interoffice mail.
  • Meet deadlines and adapt creatively to unexpected events and circumstances.
  • All other duties as assigned.

Qualifications:
  • Associate or bachelors degree preferred.
  • Five (5) years of progressive administrative experience.
  • Experience working with people with disabilities or behavioral health challenges helpful.
  • Excellent computer skills, including Microsoft Office programs, specifically Word, Excel, PowerPoint, Outlook, Teams, and Visio.
  • Ability to learn additional computer and technical programs and software.
  • Excellent communication skills, both verbal and written.
  • Strong project management, organizational, and time-management skills.
  • Professional appearance and demeanor.
  • Ability to lift up to 25 lbs.
  • Act 33, 34 and FBI Clearances.
  • Reliable transportation to and from work
