About Civica Civica is a 501(c)(4) social welfare organization established in 2018 by health systems and philanthropies to reduce chronic generic drug shortages and related high prices in the United States. ( POSITION SUMMARY The Executive Assistant provides high-level support for the Site Leadership Team (SLT) at the Petersburg site including calendar management and successful coordination of business meetings. They serve as liaison between executives, SLT and other departments to support the Petersburg site. They exercise independent judgment in the resolution of administrative problems. They prioritize and manage multiple projects simultaneously with little or no supervision in a fast-paced environment. ESSENTIAL DUTIES AND RESPONSIBILITIES The essential functions include, but are not limited to the following: Managing calendars, requiring interaction with internal and external leaders and assistants to schedule meetings.Manage the front desk. Greeting visitors and guiding them to the appropriate department or person.Arranging travel arrangements and reservations for management and guests as needed. Supporting generation of expense reports.Assist with conference room scheduling, scheduling interviews, coordinating new hire orientation, and onboarding and offboarding of employees.Maintain organizational charts and spreadsheets.Assist in planning and organizing onsite and offsite events, and meetings.Ordering and keeping inventory of office supplies, refreshments, and other supplies on an ongoing basis.Assist with shipping documentation, process POs and receiving in the ERP system, and providing support for the site.Assist with ordering and receiving general office and lab supplies.Coordinating vendor servicing for general office equipment and handling requests related to facility needs.Maintaining highest level of confidentiality.Performing other duties as assigned.
