Job Summary:
The administrative assistant isresponsible for assisting the NCWR in the upcoming growth of its facilities andstaff. Key responsibilities will include:
Onboarding New Employees: The administrative assistant will coordinate the onboarding of new employees. Prior to arrival, this individual will arrange for the employees workspace, IT equipment, and communications with the employee. After arrival, the administrative assistant will arrange for one-on-one meetings between the new employee and each member of the NCWR over a 2-3 week period. This individual will also serve as a resource as the new employee is becoming acquainted with NCWR systems.
Meetings with Internal and External Parties: This individual will arrange for the logistics of internal & external meetings. This may include assisting with hotels, flights, and ground transportation arrangements in addition to identifying a suitable time for all participants and securing a meeting space.
Purchasing: Utilize the OK Corral purchasing system for non-lab departmental purchases, including consultant contracts and general supplies.
Management of a Department Wide Database: Upload documents to a shared database for the department including publications, presentations, and scientific reports.
General Support of the Full NCWR Department: The administrative assistant will assist with the general needs of the department of approximately twelve individuals. This may include assistance with travel plans, expense reports, meeting planning, and plans for hosting out of town guests in addition to other items.

Education & Experience

Position Qualifications:

Required:
-Associate degree or equivalentexperience
-Minimum one year office managementor related experience to include purchasing, organizing meetings, and arrangingfor travel.

Skills, Proficiencies and Knowledge:
-Mustbe detail oriented, with the ability to manage multiple projects.
-Problem-solving, communication skills, and computer skills including MicrosoftOffice, Excel, PowerPoint.
-Must be highly organized and able towork well with others.

Preferred:
-Bachelor's Degree
-One (1) to three (3) years working in a researchorganization or corporate environment with office management experienceincluding assisting with new employee on-boarding, placing purchase orders,uploading documents to a department shared database, organizing meetings with internaland external parties, and assisting with travel plans.
