Office Assistant - SPED District Bookkeeper

Salary Schedule: Office Assistant
Overtime Exempt: No
Days: 230 Days, 8 Hours Per Day
Reports To: Fiscal and Operations Coordinator
Location: Special Services Office

GENERAL DESCRIPTION OF POSITION
The incumbent is responsible for preparing all purchase orders, ordering needed items and monitoring all Special Education budgets to insure accuracy at all times. Handle all financial transactions both revenue and expenditure for all operating and activity accounts, and other duties as assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Enter purchase requests and make purchases as directed.
  • Prepare purchase orders and invoices to be paid.
  • Prepare and make deposits.
  • Monitor copy machines and other machines for working order and for working order and supply needs.
  • Relieve staff for lunch and assist in answering telephones as needed.
  • Payroll coding and complete staff absence(s) through AESOP and Frontline.
  • Request, disseminate, and maintain access permissions for building door cards.
  • Enter requisitions for maintenance on building and grounds.
  • Assist with ordering, setting up, and clean up for meetings.
  • Prepare a monthly report of all vendors who do not charge sales tax and send it to the Central Office.
  • Prepare quarterly JDC reports for the State Department with the Financial Coordinator.
  • Maintain inventory log and stickers for all Technology and other Special Services assets. Work closely with Technologies Enterprise Applications Administrator on all Technology Special Education assets. .
  • Assist Financial Coordinator with High Cost Occurrence report as needed.
  • Receive Homebound paperwork for Special Education pay hourly wage and mileage.
  • Perform any other related duties as required or assigned.
QUALIFICATIONS
To perform this job successfully, an individual must be able to carry out each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

EDUCATION AND EXPERIENCE
High school, plus specialized schooling and/or on the job education in a specific skill area; e.g. data processing, clerical/administrative, equipment operation, etc, plus 12 to 18 months related experience and/or training or equivalent combination of education and experience.

SOFTWARE SKILLS REQUIRED
  • Mastery: Alphanumeric Data Entry
  • Advanced: 10-Key
  • Intermediate: Spreadsheet
  • Excel
  • Basic: Accounting, Contact Management, Word Processing/Typing
