For more information, visit reedsmith.com.Position SummaryThis entry-level position is responsible for creating, updating and maintaining our US employee data in the PeopleSoft HR system. In a high-volume data entry environment, the HR Data Entry Specialist ensures that strict deadlines are met with utmost accuracy. The HR Data Entry Specialist is a member of an efficient, high-performing HR team performing a range of functions. Primary responsibilities include high volume data entry, filing, answering routine questions, and other HR-related tasks. Must be able to work 40 hours per week during regular business hours.Job Duties and ResponsibilitiesPerform data entry and validation for new hires, terminations, transfers, salary increases and other changes for our US population in the PeopleSoft system.Communicate with all necesary parties to ensure accuracy of data.Maintains the integrity and confidentiality of employee data.Assist with data entry for special projects and during routine audits performed by the HRIS team.Schedule day 2 and 3 orientation sessions with local teams.Assist with maintaining electronic HR filing.Monitor shared HR mailbox and answer incoming questions or forward to appropriate contact on the team.Support other members of the department, including office managers across U.S. offices, by providing general administrative assistance such as copying, preparing correspondence, conducting research, scheduling meetings, filing, preparing mailings, etc. as needed.Work to understand new department processes, procedures and/or programs.Send quarterly payroll cutoff calendar reminders to HR team.Complete verifications of employment.Completes regular audits of HRIS data, firm directory data, and personnel files and photos.Perform other administrative and related duties as required and assigned.Job duties and responsibilities included are not exhaustive and may be supplemented as necessary. Reed Smith reserves the right to revise or modify job duties and responsibilities at any time.RequirementsEducation: Bachelor's degree, or working towards Bachelor's degree in Human Resources, Management, Business Administration, or another applicable major at an accredited university preferred, but not required.Experience: Some data entry experience working in a general office environment preferred.Skills:Strong attention to detail, accuracy and organizationGeneral computer skills in MS Office (Word, Excel, PowerPoint, Access and Outlook)Accurate typing, spelling and grammar skillsMulti-tasking, follow-up and prioritizing skillsExcellent communication skills, both written and verbalDiscretion in handling confidential informationDesire to work in a fast-paced, high-volume environmentDemonstrated focus in customer service with an ability to provide a positive customer experienceOtherSupervisory Responsibilities: None.Equipment To Be Used: Personal computer and other office equipment such as telephone, calculator, fax, machine, copier, scanner, etc.Essential Job Functions:Ability to sit and/or stand for prolonged periods, intense eye usage, and finger, hand and wrist dexterity associated with prolonged computer use.Ability to work 40 hours per week during regular business hours.Ability to work overtime during peak times, as needed.Ability to work independently, but also as part of a busy, high-performing teamWorking Conditions: You will be required to work in the office a minimum of 2 days per week. Occasionally called upon to work hours in excess of your normal daily schedule.
