Job Summary

The Administrative Assistant role will be responsible for office organization and supporting the Human Resource department. You will be responsible for maintaining the phone system and front desk presence to assist visitors and employees as necessary.


Essential Duties and Responsibilities

Office Support:

  • Answer, screen, direct, and provide support for incoming phone calls.
  • Greet and welcome guests and direct them to the appropriate person.
  • Clerical duties, including faxing, scanning, postage machine use, multiple system data entry and AP check mailing preparation.
  • Daily trips to the post office.
  • Ordering office supplies and tracking inventory for all locations.
  • Ensures office and kitchen areas are clean and presentable, with all necessary supplies for all locations.
  • Maintains company organization charts, the employee directory, and parking allocations.

Human Resources Support:

  • Maintain company website and job boards with current openings.
  • Support the new hire onboarding and orientation process.
  • Manage the security badge program for all facilities.
  • Help maintain employee files and records in electronic form.
  • Coordinate and assist with company culture events and team member training.
  • Distributes and ensures company postings are within compliance standards.
  • Handles employee initiatives such as referral programs, monthly newsletter,
  • Participate in other projects and initiatives as assigned.

Executive Assistant Support:

  • Scheduling meetings, creating, and managing agendas.
  • Organizational communication which includes drafting, reviewing, and sending emails, letters, memos, and reports.
  • Attending meetings, taking notes, and preparing and forwarding minutes.

  • Exceptional attention to detail & time-management skills

Experience and Education

  • Bachelor's degree or the equivalent years of experience.
  • 2-3 years' experience in administration, reception, clerical, and/or relevant experience.




Compensation details: 20-25 Hourly Wage
