Our Office Assistant/Reception (Burbank, CA) is professional, friendly, provide excellent customer service, and possess excellent communication skills.

This position answers the main phone lines for all locations and accurately transfer callers so they receive the best customer service possible in a prompt, efficient and warm manner. Functions as a liaison assisting corporate departments. Acts as the first point of contact for corporate office visitors.

What Will Be Your Key Accountabilities?

  • Transfer callers to correct department or person for assistance. If possible, answer caller's basic inquiries such as directions, hours of operation.
  • Greet customers and directs them to the proper department or employee. Answer general questions relating to financial institution services or arrange appointments as necessary.
  • Provide support to E-Banking clients for basic requests.
  • Prepare and receive and distribute mail and courier deliveries (FedEx, UPS, etc.) This includes preparing outgoing courier deliveries.
  • Receive and scan documents for loans including documents to Loan Servicing or SBA. Save in appropriate scanned document folder and advise appropriate department. Original documents retained in fireproof file cabinets.
  • Ensure reception area is neat and orderly, and that Boardroom/conference rooms are clean and well maintained.
  • Serve as host for each Bank Board Meeting or other official gatherings. Ensure that water, coffee, tea etc is constantly available and food/snacks are presented in a neat and organized manner.
  • Handle mail processing-through mail receive loan and other payments- ensure proper department is notified and check processed timely.
  • Provide daily assistance to Deposit Operations Department by performing assigned research duties and special research requests which must be completed timely and accurately.
  • Prepare and place Bank monthly supply orders including monitoring orders for approval and compliance with guidelines. Maintain onsite inventory.
  • Place service requests for administration as necessary. Handle service for Xerox and other equipment.
  • Maintain a record of keys using a key log and dual control box system for all admin keys and entry devices.
  • Keep a log of all employees with an alarm code
  • Maintain up to date alarm code log. Add, edit and delete users as needed using the portal or at the panel
  • Receive and distribute mail and courier deliveries, this includes preparing outgoing courier deliveries.
  • Assist all departments, as needed, with any mail, courier and/or delivery assignments.
  • Assist Finance Department on projects which can include daily or weekly assignments.
  • Support all executives and office.
  • Assist with the distribution of Business Continuity Plan (BCP) Binders. Prepare and update binders for Department heads as needed.
  • Monitor bank forms in administration for ordering.
  • Input information into core system as requested.
  • Maintain current procedures for position functions.

  • Follow all Bank policies and procedures to ensure compliance with all laws and regulations.
  • Understand and adhere to regulatory guidelines including but not limited to FCRA, BSA, GLBA, etc. as the regulations pertain to the employee's job function.

  • Minimum of 3+ years of previous office experience with some secretarial skills required, financial institute preferred.

  • Excellent attention to detail and accuracy; good organizational, research and follow-up skills.
  • Requires the ability to exercise independent judgment and employ basic reasoning skills
