Position Summary: This position relieves the Executives of administrative functions in order to increase the time they have available for executive level functions. Provide high level administrative skill set to a wide range of business tasks that may be of a confidential and time sensitive nature.

Hours: Full time: Monday-Thursday 8am-5pm | Friday 8am-4pm

Essential Duties:

  • Assists with appointment scheduling and calendar management for Senior Level management
  • Coordinates arrangements for internal/external meetings, conference calls; compile and disseminate materials for meetings, provide catering needs as required
  • Works on a variety of special projects as needed with multi-tasking as necessary
  • Takes initiative, uses good judgment, understands deadlines and carries multiple projects through to completion with much interruption
  • Works independently under general direction while prioritizing work
  • Assists in coordinating a variety of monthly and quarterly local and branch award programs
  • Involvement in upkeep of the Company intranet and external website
  • Greets guests, maintain reception area and main conference room appearance
  • Answers overflow of switchboard calls
  • Demonstrates accurate knowledge of services of the Company and provide information by answering questions and requests
  • Develops and maintains effective working relationships with Management and Support Center staff
  • Maintains a high degree of confidentiality at all times due to access to sensitive information
  • Maintains regular, predictable, consistent attendance and is flexible to meet the needs of the department
  • Follows all Medicare, Medicaid, and HIPAA regulations and requirements
  • Abides by all regulations, policies, procedures and standards
  • Performs other duties as assigned

Position Requirements & Competencies:

  • High School diploma or equivalent
  • Two years of administrative and caregiver experience
  • Ability to handle confidential aspects of the role
  • Good command of Microsoft Office Suite (Word, Excel, PowerPoint)
  • Strong oral and written skills
  • Assesses work load and re-prioritize as needed, handling multiple task under tight deadlines
  • Works under pressure and deals with interruptions and other unexpected events and make necessary adjustments
  • Interacts professionally with all levels of management and staff
