JOB SUMMARY

Support the Economic Development Director in day-to-day functions including communications with managers and other City Departments, assist with special event details, assist with front desk coverage, maintain reporting, handle a multitude of project details, and maintain department schedules.

ESSENTIAL JOB FUNCTIONS

  • Supports the Economic Development Director with day-to-day functions, communications, reports
  • Assists in the planning and scheduling of departmental meetings.
  • Aids and offers support to the other ED Departments when directed by the ED Director.
  • Takes minutes and transcription, records meetings, completes the agenda summaries, agenda packet assembly and distribution for various city boards.
  • Composes routine correspondence.
  • Aids in the planning and implementation of the City's Special Events.
  • Coordinates the assembly, details, and timelines for the department's ongoing projects.
  • Creates banners, posters, newsletters, flyers, and media-related graphic artwork.
  • Assists with sales reports, departmental purchases, and budget allocation.
  • Processes and receives shipping for UPS and FedEx.
  • Performs other related duties as assigned.

QUALIFICATIONS

Education and Experience:
  • High School Diploma or GED; and
  • One (1) year of related job experience;
  • Or equivalent combination of education and experience;
  • One (1) year of experience in a position with a high level of public contact, concentrated in customer service.

Licenses or Certifications:
  • None.

Special Requirements:
  • Ability to use graphic design software helpful.

  • Skill in using good judgment and good customer service in receiving and responding to public information inquiries and complaints.
  • Ability to deal effectively and tactfully in stressful situations with the public and to assess the needs of citizens requesting assistance.
  • Ability to exhibit very strong customer service skills, both in person and on the phone.
  • Ability to demonstrate command of business English, spelling and mathematics.
  • Ability to demonstrate effective communication, both verbally and in writing, including strong proof-reading skills.
  • Knowledge of office procedures, equipment, and practices.
  • Ability to maintain strict confidentiality.
  • Ability to pay fine attention to detail.
  • Ability to develop and maintain good working relationships with co-workers, other departments, and the general public.
  • Ability to follow oral and written directions.
  • Ability to effectively multitask and handle many situations, projects, and issues at once.
  • Ability to efficiently ascertain a situation and offer assistance and solutions for the benefit of the department.
  • Maintains regular attendance and punctuality.
  • Strong knowledge of Microsoft office tools such as: Word, Excel, PowerPoint, Publisher, and Outlook.
  • Ability to creatively use graphic design software such as Canva, Publisher, Adobe Photoshop, CorelDraw, etc.
  • Willingness to learn social media marketing for promoting city departments and events.

PHYSICAL DEMANDS

While performing the duties of this job, the employee must exert up to 20 pounds of force occasionally, and/or up to 10 pounds of force to move objects. The following physical abilities are required: feeling, fingering, handling, hearing, mental acuity, speaking, talking, and visual acuity.
