Job Summary:
To maintain a complex inventory system for UMMC.

Education & Experience

High School Diploma/GED.

Certifications, Licenses or Registration Required: NA

Knowledge, Skills & Abilities

Knowledge of property management principles, procedures, and standards. Ability to attend to details. Ability to understand business processes. Knowledge of Mississippi regulations related to acquisition of materials and services. Skill in the use of personal computers and related software applications. Ability to research specifications and compare against purchase orders and invoices. Interpersonal skills to interact with a range of constituencies. Verbal and written communication skills. Ability to maintain recordkeeping systems and procedures. Ability to coordinate and conduct property audits.

Responsibilities
  • Receives and issues property items and records data for submitting reports to federal and state regulatory agencies, such as state auditor and department of finance and administration and funding sponsors if material or services paid for by extramural funding source.
  • Locates, affixes inventory tags, and codes property and equipment.
  • Researches and enters specifications for material into enterprise planning system in order to generate and submit a purchase order. Reviews purchase orders to verify that information on a purchase order is consistent with the vendor's quote, to verify that material is correctly classified per MS guidelines, and to verify that material may be purchased through specific accounting unit type. Date-stamps purchase orders; ensures release of purchase orders within the required time frame.
  • Coordinates and schedules departmental audits; conducts equipment audits and prepares written report.
  • Provides in-service training.
  • Solves routine problems concerning the location of property in storage and inventory items. Compares invoices against purchase orders and identifies discrepancies for reconciliation. Works closely with buyers and accounts payable team.
  • Prepares material authorizations and credit memos for credit to appropriate accounts for material returns.
  • Inspects material donations to UMMC to determine fair market value to provide asset information for financial recordkeeping.
