Pay Rate: $30,000.00 - $35,860.00/per year. Pay will be determined based on related work experience above required. To be considered in determining pay, all related work experience must be listed on the application.

Position Summary: Responsible for processing all campus mail delivered to the mail room. Sort mail properly and prepare in accordance with the rules and regulations of the federal postal service. Assist SR clerk with package delivery. Assist in collecting, sorting, and preparing surplus property for sale on Gov.Deals. Serve as backup to the Courier position and to the Shipping/Receiving clerk position as necessary. Performs other duties as assigned.

Essential Functions:

25% Sort intercampus mail which includes 4 campuses and incoming mail received from the US Post Office for proper delivery to departments to all the campuses. Analyze shipping & receiving packages and route to correct destinations. Post all outgoing mail to USPS. Perform clerical and accounting duties of a mail clerk. Keep records of business reply statement from the US Post Office. Operate mail postage machine by loading and positioning envelopes, adjusting blades and setting switches as needed to make sure envelopes are being processed quickly and correctly for delivery to the US Post Office.

15% Serves as backup to the Courier.

20% Assists Shipping/Receiving clerk with package delivery and serves as back up to the Shipping/Receiving clerk.

30% Assists collecting, sorting, and preparing surplus property for sale on Gov.Deals.

10% Other duties as assigned.

Key Results Areas: All mail is received and processed for delivery in an accurate and timely manner. Surplus property is accurately assessed and disposed of in compliance with college policy. Shipping/Receiving is supported to assure that packages continue to be delivered and processed in a timely and accurate manner during very busy seasons.

Job Requirements:
  • High School Diploma/GED
  • Valid Tennessee Driver's License
  • One year mail clerk or shipping receiving experience required.
Part-time work experience is calculated at 50% credit of full-time work experience.

Good organizational skills, time management skills, and customer service skills.

Ability to use a PC for email and internet access.

Ability to learn to use computer shipping/receiving and timekeeping reporting.

Ability to learn to operate a forklift.

Ability to lift and move large and heavy boxes and surplus property safely.

Ability to work as a part of a team, as well as independently.

Able to engage in the College's mission and values.

Proficiency in a second language is not required.

Complexity & Creativity: Organizational skills and the ability to learn the computer skills for processing orders are needed for this position.

Magnitude of Impact: The decisions made by this position have a great effect of the college's success as it is extremely important to execute the duties safely, as well as in a timely fashion. Academic Affairs receive curriculum materials that are crucial to their class progression. The Business Office receives bid documents via Fed Ex that must be delivered to their office promptly without the seal broken. Inventory tags must be identified in surplus for audit purposes. The clerk must be able to identify act on these according to policy. If not, this could cost the college money and time to rectify the mistake. This position is critical for the college's success, because certain items are more time sensitive that others and it is up to this position to realize the difference.

Responsibility for Accuracy: Mail or packages delivered to the wrong recipient, tagged items missed in surplus processing. Each package recipient must sign for their delivery. Surplus is processed into lots and verified by Access Control and Logistics Manager and Information Processor before posting for sale.

Financial Impact: This position could financially impact the college negatively. This position is required to handle each piece of mail that comes into the college, as well as each package when on the dock. Furthermore, they must deliver it without any damages as well as keeping a safety first attitude. This requires a conscious effort to carefully handle items received so as to not damage them in transition from Shipping and Receiving to the particular department. The same is true for picking up surplus. Items have to be handled carefully in order to protect the remaining value of the item.

Judgement and Decisions: This clerk will determine daily where received items are to be delivered, distinguish if items have the proper paperwork for processing. No, these decisions are not reviewed before becoming effective.

Nature of Contacts: This employee will interact with representatives from the USPS, FedEx, UPS, other carriers and all PSCC offices across the campuses. They will most likely communicate with students, staff and faculty in the course of their collection and delivery duties.

Physical Demands: This position is a physical position. The person will be moving packages and mail, walking, lifting and moving heavy boxes. The delivery of packages requires pushing a loaded cart from building to building across campus. The processing of surplus requires moving surplus equipment and furniture to storage areas at the Physical Plant on the Hardin Valley Campus. They will be driving trucks, working on the dock, exposed to moving vehicles. They should be able to hear back up alarms on vehicles and see visual hazards in their path. Seeing color is required, since they will be processing documents that may be color coded.

Hazards: Slips, trips, and falls. Injuries associated with lifting and physical activity.
