Job Description

PURPOSE OF POSITION:

Under supervision, with latitude for independent judgment, performs supervisory and/or moderately difficult clerical duties. In addition to performing the duties of Assignment Level II at a higher level, also performs the following typical tasks.

RESPONSIBILITIES:
1. Follows corporate and hospital regulations, policies and procedures.
2. Wears required identification while on duty.
3. Acts as receptionist. (Telephone Etiquette)
4. Ensure patients After Visit Summary (A VS) is scanned into EPIC chart.
5. Notifies Police Department of victims of violent crimes who come into the Emergency Department unaccompanied.
6. Responsible for in-putting data into the EPIC system that is accurate, valid and complete.
7. Responsible for verifying that patients insurance is correct and up-to-date by performing RTE function in EPIC. Collects co-pay when indicated.
8. Prepares A VS, EKG' s, and any other patient forms for pick up by Medical Records
9. Obtains biographical, demographical, and financial information.
10. Issues Advance Directives information and Bill of Rights.
11. Opens all emergency room visits in EPIC (mini registration)
12. Scan all emergency room discharges, prints admissions, mortalities and transfers.
13. Contacts the operator to page Physicians for consultation as necessary.
14. Assist medical staff in completing the authorization form for transportation for eligible patients upon discharge.
15. Fills out telegram request forms for patients that need to be recalled for further medical treatment and are unreachable by phone and then takes it to the Information Desk.
16. Reviews ED registration forms for completeness upon DOWNTIME event.
17. Places patient's pre-printed labels on all medical documents.
18. Notifies Unit Manager/ AOD of gun shot wounds, stabbings and other crisis management situations in the ED.
19. Notifies clergy as necessary, i.e., codes, traumas.
20. Provides patients with telephone number and hours of clinics when required.
21. Notify Admitting Department of all deaths ASAP(within 15 minutes of expiration)
22. Pages anesthesia, physician's for consultation, trauma team, portable X-ray, respiratory therapy and Stroke Team.
23. Maintains neatness of work area. Restocks all areas of the ED (Adult, Pediatrics, Psych, Fast Track) at the start of each tour.
24. Instruct patients regarding procedure of where and how to register before scheduled appointments. (Welcome Center)
25. Responds to inquiries from patients, physicians, visitors and other departments.
26. Demonstrates knowledge of policies and procedures, as outlined in the requirements of the department manual and corporate guidelines.
27. Maintains filing system for all ED forms and log books.
28. Fills out diet sheet for each meal and fax it to the kitchen.
29. To give to the relief person, at the end of each tour, a report of the number of patients awaiting transport, number of patients awaiting bed assignment, any patients in CT Scan or Ultrasound, any sick/late calls in conjunction with supervisors.
30. Performs any assignments/tasks designated by doctors, nurses, unit manager and onduty administrators.
31. Participates in any/all huddles, Teamstepps and Town Hall
32. Searches whiteboard for patients in the ED.
33. Replenishes any and all necessary forms throughout the department
34. Assists in the maintenance of the Monthly on-Call schedule
35. Follow disaster protocols and demonstrates awareness of responsibility during disaster.
36. Follow established Infection Control Protocols.
37. Attends all mandated in-services and departmental meetings.
38. Maintains confidentiality of patient and hospital records; uses discretion when discussing patient and hospital matters.
39. Address patients, visitors and co-workers in a courteous and respectful manner.
40. Answer informational requests with courtesy, accuracy and respectful manner.
41. E-mails SART manager a list of any SART cases on a daily basis.
42. Follows clerical procedures during codes, fire and Internal and External Disasters.
43. Contact advocate on call for all rapes and domestic violence cases presenting to the ER.
44. Answers SART HOTLINE and accurately logs information about call in SART Book.
45. Calls SART on call personnel and gives information about patient, who to contact and at what facility the patient is located.
46. Assist in training any Level II and or Temporary staff assigned to the ED.
47. Assist social services in the placement of homeless patients returning back to the shelter system.
48. Daily statistics (Tour I)
49. Queries database as needed for daily Ql>/EMTALA/Affiliation contract review.
50. Scans all pertinent documentation (Insurance cards, demographics, TPO) into EPIC.
51. Performs other departmental assignments, as deemed by your Supervisor or Manager.

Minimum Qualifications
1. A high school diploma or its educational equivalent; and
2. Six (6) months of full-time satisfactory clerical experience and/or experience interacting with the public, such as processing sales; taking, processing, and delivering orders; obtaining and dispensing information; listening to and resolving customers concerns, problems, and complaints; and/or performing related customer service activities.
