SUMMARY: This position is the Circulation and Interlibrary Loan Associate and assists the Reference and Instruction Librarian with oversight of the circulation desk, interlibrary loan processes, and other public service aspects of library operations.

The specific duties include:

  1. In conjunction with all other personnel, support and advance the vision and mission of the University.
  2. Act as a first response to library circulation activities, questions, or concerns, and assist Librarians by offering instruction to library users regarding the location of materials and basic use of the Locate library catalog and account system.
  3. Oversee circulation desk, check library materials in and out, generate holds, process renewals for library users, and assist patrons with circulation questions or concerns.
  4. Manage circulation desk workflow and assist with communication and library correspondence regarding transactions, policies, procedures, and training with all library assistants and work study library assistants.
  5. Maintain circulation library user records, including updating records and prepare monthly and annual statistical reports.
  6. Run reports within Folio Analytics and OpenRS applications, follow up with any missing items, and submit lists of fines and circulation charges to the finance department.
  7. Perform all library opening procedures during weekdays and troubleshoot/report issues with equipment, furnishings, or physical space.
  8. Assist alumni, field doctors and other guests with library services.
  9. Verify bibliographic information and prepare and process incoming and outgoing interlibrary loan requests for borrowing and lending utilizing DOCLINE, Tipasa, and MOBIUS Open RS resource sharing.
  10. Maintain currency in interlibrary loan software trends, developments, and processes.
  11. Recommend and/or implement policy and procedural changes that enhance the library's effectiveness.


Qualifications

COMPETENCIES: Excellent customer service and interpersonal skills. Must be able to respond to requests for service and assistance professionally and courteously while handling various detailed tasks. Requires good organizational and communication skills. Must prioritize and plan work activities to deal with competing demands, while showing accuracy and thoroughness. Must be able to exercise sound judgment and good decision-making skills.

Minimum of an Associate degree required or six months to two years related library experience and/or training. College degree and library experience preferred. Willingness to learn new skills and functions as the operations needs of the library evolve.

Computer Skills: Computer Skills: To perform this job successfully, an individual should have basic to intermediate Microsoft Office application skills (Outlook, OneDrive, Word, Excel). Experience with computers and ability to learn the protocols and processes for utilizing multiple software packages for managing and manipulating data.

While performing the duties of this job, the employee is regularly required to use hands to type on computer to handle books and to talk and hear when assisting students and other library patrons. The employee is frequently required to stand, walk, and reach with hands and arms while shelving books and checking them out. The employee is occasionally required to sit and use a computer and to climb, balance, and stoop or kneel to shelve books. The employee must frequently lift books weighing from 10 to 30 pounds and occasionally lift books weighing up to 50 pounds. Must be able to push carts weighing up to 100 lbs. Close vision is needed to use the computer and to read shelves. Color vision is required when using research information databases in order to distinguish different screens. Must have distance vision and depth perception for safety purposes when pushing carts full of books.
