Job Description:
Mount Holyoke College's Health Services is the hub of medical care for students, offering full spectrum primary care and public health and outreach support for the campus. The role of Medical Reception at CHS is a student-facing, service-oriented, multi-tasking position; full time during the academic year. They serve as the first point of contact for most Health Services' clinical and administrative inquiries and often are simultaneously managing email, phones and people at CHS's front desk and serve as the conduit between student/campus and the clinical staff. As part of the medical administrative team, they also support functions of medical records and billing as well as health compliance. When needed, the MR/A directly supports clinical operations by filling in for the Medical Assistant.
Medical office reception

  • Greet incoming patients, visitors
    • Manage self check in stations; check in patients for scheduled visits as needed, verifying patient info is current
    • Ensure annual forms and any pre-visit health questionnaires have been completed
    • Process paperwork related to that day's patient visits
  • Manage main CHS phone line and CHS administrative email
    • Respond to &/or take messages for all CHS incoming calls; disposition appropriately
    • Document clinically related inquiries into the patient's medical record and direct to the appropriate clinician
    • Ensure the phone message/phone tree is properly functioning on a daily basis and at opening/closing of Health Services breaks; update when needed
    • Monitor, respond to, and/or disposition emails to the general health services account
  • Schedule patient visits according to protocols established within CHS
    • Includes scheduling follow-up visits as patients "check out" after medical appointments
  • Process the prescription delivery, pick-up by students, and returns to pharmacy
  • Manage Health Center access: communicate hours for swipe access with appropriate campus partners, swipe access, notice postings for closures etc


Health clearance duties
  • Monitor related CHS email accounts and EHR documents for incoming health clearance documents
  • Process new student health requirements, including immunization verification
  • Communicate with students/families/campus partners as needed regarding requirements, process, and compliance
  • Place and remove holds on student accounts per protocol


Health Administrative duties

Medical records management
  • Scan/upload outside health records into student's medical chart
  • Process medical records requests to/from CHS to/from outside medical offices, as well as campus partners


Billing Processing
  • Understanding and communicating with students, families and campus partners what services are covered vs associated with charges; ability to educate students on accessing health insurance
  • Process charges for goods and services within the electronic record in preparation for the Medical Office Coordinator to submit for posting/reimbursement with the College and the school's health insurance plan.
  • Facilitate insurance information sharing for off campus health care resources (ie ambulance, referral offices)


Serve as administrative support for the CHS Ops team
  • Document and organize meeting notes as requested (ie
  • Administrative scheduling for nonclinical work (ie meetings, trainings) in staff calendars and clinical schedule as appropriate
  • Support data collection for health related reports, quality improvement etc


Clinical
  • Back up the clinical Medical Assistants as scheduled and as needed to cover staffing absences
  • prepare patients for clinician appointments
  • document intake information in patient's medical record


Other Duties as assigned

Full time x 10 months (FTE 0.83)

HS diploma required; Medical assistant training/experience preferred.
