Job Details

The Student Activity Center Assistant acts as a representative for the Office of Student Engagement & Leadership by staffing the information desk with a smile, greeting guests, answering questions, and providing services as needed. During the regular business hours, staff members are expected to assist the Student Engagement and Leadership staff in routine clerical assignments, answering telephones, and major and minor projects to help advance the priorities and processes of the office. During evening and weekend hours, the desk assistant is the key staff member responsible for the overall management of the Student Center and is expected to coordinate facility operations, assist with events in the Recreation (Game) Room and throughout the building, and oversee Student Center safety and security by addressing policy infractions and serving as the first response to emergencies.

Essential Duties:

* Information Desk: greeting visitors, fielding questions, giving directions, answering telephone calls, and directing callers to the appropriate offices.

* Game Equipment: signing out equipment for the games that are in the Student Center.

* Publicity: assist in providing information through hanging flyers, answering questions about information posted at the desk and in the Student Center.

* Mail: dispersing mail appropriately among the Student Engagement professional staff and student organizations.

* Courier: running errands and delivering paperwork to other parts of campus as needed.

* Clerical Assistance: copying, typing, data entry, mailings, etc.

* Building: oversee all of J.C. Sams Student Center areas and rooms. Keep the entrances and exits of the facility clear, surveying the facility for any hazards that may exist, and knowing evacuation routes in case of emergency.

* Food Pantry: assist with food distribution, organize goods and maintain inventory checks.

* Student Engagement Departmental Projects: Assist professional staff with a variety of projects to support the overall priorities and processes of the department.

* Student Organization Support: Answer questions and provide information about a variety of ongoing applications, sign-ups, and other activities for student organizations that may be processed at the Information Desk.

* Bulletin Boards: monitor the bulletin boards and building display locations daily for notices that are outdated or no longer pertinent to the campus community in accordance with the Student Center posting policy and remove any notices displayed improperly. This includes the taking down of posters in the student center and outdated posters.

* Security: Address and report/ document any policy violations or injuries within the facility. Communicate with Campus Security via phone about safety issues in the facility.

* Events: Review building reports for events and set up instructions for the evening, and assist with any equipment setups (including audio, visual, and lighting) as requested. Continuous communication with professional staff, provide feedback about event participant behavior, identify common problems and solutions.

* Meeting Room Signage: If closing, create and hang room signs for the following day.

* Closing: Closing and securing the facility at the end of each evening. This includes making sure the Game Room, Commuter Lounge and Food Pantry are locked outside of designated operations times, checking to be sure no students are left in the spaces, and lights are turned off at closing. etc.

* Assist with all Student Engagement events and activities, including but not limited to: Set up/break down; Assist with equipment setup (including audio, visual, and lighting) for events; Communicate with event coordinator before, during, and after the event; Record attendance number in the building log ten minutes into the event and at peak; Return all equipment/setup and shut down systems at the conclusion of the event.

* Other Duties as Assigned- Student Center assistants should be flexible and ready for any challenge presented by working in a dynamic student center for an office that supports a variety of programs and over 30 student organizations. All duties cannot be anticipated so Student Center Assistants should be ready for any duties that may arise over the course of their shift.

Expectations:

* Dress: Smart Casual attire is expected and appreciated.

* Customer Service: addressing all patron concerns in a friendly courteous manner with a positive attitude. Promotes and encourages FMU events to peers and patrons and takes initiative to be involved throughout campus.

* Attendance: Student Activity Center Assistants must report to work as scheduled and on time. If you are unable to report for your scheduled shift you are required to make arrangements for a substitute. In the event of circumstances beyond your control, you must contact the desk supervisor. Being late for your shift is not acceptable.

* Closing: Student Activity Center Assistants are responsible for securing the building meeting rooms and locking up the information desk at closing time.

* Work Hours: Student Activity Center Assistants can work up to 20 hours per week.

* Cooperation: Assistants are expected to work as a team to cover open shifts and assist one another with scheduling conflicts.

* Skills: Highly motivated, strong interpersonal and communication skills, ability to work independently and with groups, dependable and responsible, detail oriented, a sense of personal responsibility, and organizational skills are a must! The ability to manage multiple ongoing projects and reasonable experience with A/V and movie setup is desired; however, these skills will also be acquired through training. Moderate physical activity is required.

Qualifications:

* Must be an enrolled FMU student with a 2.5 cumulative GPA or higher

* Must currently be enrolled as a student with a minimum of nine (9) credit hours as an undergraduate or six (6) credits as a graduate student during the Fall and Spring semester.

* Excellent verbal communication skills

* Ability to handle a variety of responsibilities and switch gears on short notice.

* Have a helpful, friendly, calming, and positive disposition; be service-oriented.

* Basic computer skills.

* Strong organizational skills.

* Must display a positive and willing attitude.
