Position: SPECIAL EVENTS MANAGER

Reports to: Director of Development

Employment Status: Full Time/Exempt, benefits eligible

Location: Hybrid/Flexible - CASA of Los Angeles, Edelman Children's Court, Monterey Park, CA

Status/Schedule: Full-time/Exempt, Mon - Fri 8AM-5PM, weekend/evenings, required in office/field based on organization needs.

Salary: $85,000.00-$90,000 annually, benefits eligible

POSITION OVERVIEW

The Special Events Manager will lead the strategic direction of and implement the organization's special events designed to raise philanthropic funds and raise awareness of CASA of Los Angeles, in collaboration with the Chief Development Officer. Duties include researching and securing venues, making recommendations to leadership, planning and managing our events' calendars, negotiating terms and agreements with vendors, managing and guiding marketing efforts as it pertains to events with the marketing coordinator, monitoring timeframes and budgets, delivering on event brief objectives and developing deep and meaningful relationships with prospects, donors, event sponsors and volunteers. The Special Events Manager will execute these event tasks with a hands-on approach using project management and fundraising principles in a fast-paced environment.

PRIMARY RESPONSIBILITIES AND ESSENTIAL FUNCTIONS

Fundraising and Development Events

  • Works directly with all members of the Development team to strategize goals and implement plans in support of the overall objectives of the organization's strategic plan.
  • Budgets, plans, and executes a wide range of events to maximize CASA/LA's initiatives and strategic goals.
  • Lead, direct, implement and manage event committee members and chairs, and other staff and volunteers, for all annual fundraising events including, but not limited to, the Evening to Foster Dreams gala, Wine+Art event, Justice Jog, and other events.
  • Lead and guide committee members and other stakeholders to cultivate new and existing sponsors and donors for all fundraising events while building effective relationships.
  • Provide strategic leadership in conceptualizing and/or re-conceptualizing events, introducing new elements and modifying existing elements of the events from year to year.
  • Solicit and secure financial sponsorships including stewardship and follow-up of sponsors.
  • Meet financial and fundraising goals of special events while keeping all expenditures within event budgetary guidelines, and prepare financial reports, analysis of cost estimates, and reconciliation of expenses.
  • Execute all levels of administrative requirements of each event with hands-on approach, including but not limited to pulling donor reports and mailing lists, creating and maintaining sponsorship trackers, performing mail merges and managing seating lists.
  • Develops and maintains budgetary guidelines.
  • Build solid relationships that benefit special events and support CASA/LA overall.
  • Collaborate with the Marketing Manager on marketing efforts related to events including messaging for social media, emails, advertisements, and ensuring each event and CASA/LA's overall brand is adhered to.
  • Work directly with a graphic designer to create, edit and approve event assets including, but not limited to, event invitations, promotional materials signage and event decks.
  • Develop timelines, task assignments, and guest lists in accordance to project management best practices
  • Scout and recommend venues, equipment needs, vendor contracts, insurance requirements, permit applications, security, signage, and other logistical matters.
  • Negotiate and manage vendor contracts.
  • Manage and train event volunteers.
  • Solicit and manage in-kind donations as part of event success.
  • Stay well informed on event industry trends and new venues.

Other Organization-Wide Events
  • Provides support on events for other departments as needed that include, but not limited to, the annual Volunteer Appreciation Luncheon, annual Volunteer Appreciation Holiday Party.
  • Collaborate with department leads and oversee all financial aspects of the events, including developing and monitoring budgets, preparation of financial reports, analysis of cost estimates, and reconciliation of expenses.

JOB QUALIFICATIONS/REQUIREMENTS
  • Four years' managerial experience in event planning, preferably in a non-profit environment/Los Angeles region.
  • Bachelor's degree preferred with demonstrated experience managing multiple events at once.
  • Successfully planned large-scale special events with at least 400-1,000 people with a fundraising focus
  • Must be comfortable making solicitations and have a deep understanding of fundraising principles and practices.
  • Flexibility to work in a hybrid-model open office setting.
  • Flexibility in using own vehicle to meet with donors or pick-up event supplies as needed.
  • Weekend and evening work are required throughout the year as needed and at major events.
  • Demonstrated successful project management, event planning, relationship building and management experience with strategic fundraising focus.
  • Demonstrated excellent organizational skills, prioritization and management of multiple projects, problem solving and task completion with a high degree of accuracy and timeliness with minimal supervision.
  • Must be detailed-oriented and able to multi-task in an ever-changing fast paced environment.
  • Must possess exceptional communications skills.
  • Must have a positive attitude and diplomatic approach in accordance with our core values of accountability, deep love, integrity, respect, justice and authenticity in all interactions with stakeholders.
  • Must have strong analytical skills to effectively assess performance of special events and make recommendations for improvements.
  • Strong English writing, editing, and proofreading skills to produce appropriate donor acknowledgment letters and other correspondence, reports, and documents utilizing correct grammar, syntax, spelling, and punctuation. Demonstrated excellent editing and proofreading skills.
  • Ability to make oral one-on-one presentations, as well as group presentations to provide information on fundraising events.
  • Demonstrated skill in recruiting, training and supervising support staff.
  • Demonstrated knowledge of Windows operating systems and Microsoft Office Suite software.
  • Ability to learn different donor management platforms: DonorPerfect, MobileCause, a plus.
  • Possession of a driver's license and access to an insured vehicle to travel to off-site meetings and events.
  • Ability to maintain confidentiality in a donor environment and use discretion in responding to inquiries.
  • Ability to successfully pass a background check and LiveScan.
  • Preference to have solid relationships in the events and art communities.
  • Preference to have experience with art auctions.


PREFFERED QUALIFICATIONS
  • Bilingual English/Spanish a plus
  • Able to lift/push/pull 10 pounds.
  • Ability to remain in a stationary position and constantly use a computer which consists of viewing a monitor and using a keyboard.
  • Constantly works in an open office environment in a courthouse where distractions are present, noise levels and air temperatures are fluctuating.

PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT
  • This position requires the ability to work remote, in the office and in the field. The CASA office is an open office layout. Candidates will be working in varying levels of noise and foot traffic all in accordance with CDC and Cal/OSHA guidelines.
  • Office environment consists of moderate fluctuations in air temperature.
  • Physical requirements include extensive seated work at a computer, standing, bending, reaching, sitting, grasping, fingering, repetitive motion both hands/feet, and walking. Lifting requirement is up to 20 lbs.
