The Administrative Assistant provides a broad range of administrative support to maintain workflow; keeping management team apprised of matters relevant to executive objectives and business matters. Major responsibilities include customer and vendor coordination, scheduling internal and external meetings, making travel arrangements, maintaining client information, following up on proposal work, preparing expense reports, editing proposals, composing correspondence and managing special projects.

This position requires someone who has enthusiasm, discretion, strong written and verbal communication, outstanding organizational skills, good judgment, and the ability and desire to work independently with minimal direction. The AA must be resourceful, solutions-oriented and service focused.

Responsibilities:
  • Provide administrative support to the leadership team as needed
  • Coordinate vendor and customer meetings
  • Monitor deadlines on projects or meetings and follow through on unresolved issues and/or pending requests
  • Anticipate needs and handle day-to-day issues
  • Take initiative to refer questions and requests to the appropriate resource and follow through to resolution
  • Schedule meetings, appointments, and conference calls
  • Create meeting agendas and coordinate with other's schedules
  • Develop and maintain presentations, spreadsheets, proposals etc.
  • Act as a company advocate and embody BearCom Wireless values
Preferred Qualifications:
  • 3 years of experience in a business office environment
  • Advanced knowledge of MS Office (Word, Excel, PowerPoint and Outlook)
  • Proven attention to detail and strong work ethic
  • Positive and outgoing personality
  • Persistent; able to make things happen and influence others
  • Organized and autonomous; able to work well under pressure and drive tasks through to completion with minimal supervision
  • Proactive and foresighted to anticipate possible issues
  • Able to multi-task and set priorities according to business needs
  • Exceptional people skills, diplomacy and customer service
  • Exceptional written and verbal communication
  • Experience with CRM systems a plus (JD Edwards)
  • Background checks are part of the hiring process, which may include a Motor Vehicle Check.
