We are currently hiring a Mental Health Administrative Assistant to support our rapidly growing team. This is a full-time on-site position in our Encino Office, Monday-Friday 9:00 AM 5:30 PM.


The Administrative Assistant will be responsible for data entry, organizing and coordinating the schedule and contact between patients and therapists. The Administrative Assistant must ensure excellent organizational effectiveness, efficiency, and quality of care. In addition, the Administrative Assistant will be responsible for monitoring and fielding all phone calls, and emails as they come in. As the organization s first point of contact with our clients and potential clients, the Administrative Assistant must exhibit a cheerful, professional, and patient disposition at all times. A strong ability to take charge and meet tight deadlines will ensure your success in this multi-faceted role. This is a fast-paced office.


Responsibilities


Financial Administration:

  • Collect payments, including copays, deductibles, and cancellation fees.
  • Process proper insurance company billing information and ensure accuracy.

Scheduling:

  • Schedule and confirm appointments with therapists.
  • Routinely track authorizations and cancellations

Communication:

  • Assist the owner and therapists with communications to staff and families regarding the office/clinic.
  • Monitor and field all phone calls, faxes, and emails.


Client Management:

  • Assist with utilization review for all clients and their authorizations.
  • Perform verification of patient insurance coverage.
  • Collect medical information from patients, family members, or other medical professionals.
  • Comply with medical records requests.


Record Keeping:

  • Keep track of the CRM board.
  • Scan and upload documents and faxes into the Electronic Medical Record (EMR) system.


Qualifications


  • High School Diploma
  • Previous experience in a medical setting preferred but not required
  • Strong interpersonal, customer service and communication skills
  • Ability to multitask
  • Proficient in Google Suite
