Our organization is seeking a highly skilled and experienced Administrative Assistant to support our dynamic Engineering team. This is a permanent position perfect for a self-starter with a keen eye for detail and a passion for organization. The successful candidate will have the ability to work in a fast-paced environment, manage multiple tasks simultaneously, and have a proactive approach to their work. This role is integral to the smooth running of our engineering department and will offer the right candidate an exciting opportunity to be part of a progressive, growing company.
Responsibilities:
- Provide comprehensive administrative support to the team, including but not limited to scheduling meetings, managing calendars, and coordinating travel arrangements.
- Manage and process expense reports with accuracy and timeliness.
- Handle invoicing, including tracking payments and liaising with vendors and clients to resolve any discrepancies.
- Utilize MS Office Suite to create and edit documents, spreadsheets, and presentations as required.
- Maintain an organized filing system for easy retrieval of documents.
- Assist with the preparation of project plans, reports, and other engineering documentation.
- Act as the first point of contact for the department, managing communications and correspondence with professionalism and discretion.
- Coordinate and manage special projects as assigned, ensuring deadlines are met.
- Maintain an up-to-date knowledge of industry developments and trends.
Qualifications:
- A minimum of 5 years of experience in an administrative role, preferably within the manufacturing industry.
- Proficient in MS Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Exceptional organizational skills with the ability to manage multiple tasks and projects simultaneously.
- Excellent communication skills, both written and verbal, with the ability to liaise effectively with all levels of staff and external stakeholders.
- Experience in managing expenses and invoicing.
- High level of accuracy and attention to detail.
- Ability to work in a fast-paced environment and adapt to changing priorities.
- Proactive and self-motivated with the ability to work independently and as part of a team.
- A degree in Business Administration or a related field would be advantageous, but not essential.
