General Job Description

The Purchasing Coordinator reports to the Director of College Services. The Purchasing Coordinator assists the Director of College Services in the operations of the Purchasing and Receiving Office.
Duties

  • Assist in the day-to-day operations of the Purchasing department.
  • Coordinate purchasing activities to ensure timely procurement of goods and services.
  • Monitor the procurement card (P-Card) program, including card issuance, activation, deactivation, and compliance auditing practices to identify areas for improvement.
  • Assist in identifying and enforcing P-Card policies and procedures in compliance with organizational and industry regulations.
  • Assist in creating and providing training sessions for employees involved in the purchasing process to ensure proper usage and adherence to policies.
  • Monitor P-Card transactions, review reports, and reconcile accounts to detect discrepancies or fraudulent activity.
  • Ensure compliance with organizational purchasing policies, P-Card guidelines, and relevant regulations.
  • Collaborate with other areas and departments as needed for the efficient and effective procurement of commodities and services to benefit the college.
  • Maintain positive relationships with vendors, address issues, and resolve disputes as needed.
  • Assist in analyzing spending patterns, identify cost-saving opportunities, and implement strategies to optimize procurement processes.
  • Generate reports on purchasing activities, P-Card usage, and expenditure trends.
  • Provide insights and recommendations to management based on data analysis.
  • Provide support and guidance to staff on purchasing processes, policies, and systems.
  • Identify opportunities to streamline processes, improve controls, and enhance overall efficiency and effectiveness.
  • Provide input for process improvements and monitor their impact on purchasing operations and P-Card program performance.
  • Provides excellent customer service to internal and external customers.
  • Other duties assigned to the Purchasing Department as assigned by the Director of College Services.

Required and Preferred Qualifications

Required:
  • Associate's Degree in Business, Accounting, or related field of study
  • Five (5) years of clerical work experience in a business/purchasing environment including Accounts Payable and/or Fixed Assets

Preferred:
  • Bachelor's Degree in Business, Accounting, or related field of study
  • Seven (7) years of clerical work experience in a business/purchasing environment including Accounts Payable and/or Fixed Assets.
  • Supervisory and Customer Service experience
