Candidate Profile and Qualifications

  • Experience in maintaining files, data entry, restocking supplies, answering phone calls, communicating over email and in person, being attentive to detail, working alongside upper management, and working in a fast paced environment
  • Technical Skills: Proficient in Microsoft Office Suite
  • Soft Skills: Dependable, Professional, Proactive, and organized
  • Education: Bachelors Required
  • Proof of vaccination against Covid-19: Required, including booster

Job Duties & Responsibilities:

  • Greeting Visitors & Answering Phones:
  • Welcome customers, job applicants, vendors, and other visitors.
  • Determine and address their needs promptly and professionally.
  • Answer and direct incoming calls.
  • Provide accurate information to callers as needed.
  • Updating Calendars and Scheduling Meetings:
  • Prepare rooms for meetings and training sessions.
  • Maintain and update calendars to ensure efficient scheduling.
  • Clerical Tasks:
  • Filing paperwork, scheduling appointments, answering phones, greeting visitors, and sorting and sending mail.
  • Producing and distributing memos, letters, faxes, and forms.
  • Responding to emails in a timely and professional manner.
  • Take messages and ensure they are delivered to the appropriate destinations within the organization.
  • Travel Arrangements:
  • Booking travel arrangements.
  • Arranging conferences and conference calls.
  • Finances:
  • Submitting and reconciling expense reports.
  • Preparing and monitoring invoices.
  • Approving expenditures within designated limits.
  • Other Tasks:
  • Ordering office supplies to maintain adequate inventory.
  • Taking dictation and transcribing notes accurately.
  • Researching and creating presentations.
  • Providing information by answering questions and requests from colleagues and external contacts.
