Position: Administrative Assistant - Student Support & Accountability
Reports to: Director of Student Support & Accountability
Supervises: None
Qualifications:
- High School diploma or GED required
- Demonstrate ability to use oral and written communication.
- Demonstrate ability to use Microsoft Office and Google Suite.
- Demonstrate aptitude or competence for assigned responsibilities.
- Satisfy all district requirements with regard to physical health and citizenship.
- Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
Position Goal: Provide assistance and support for the English Language Development Program
Essential Functions and Responsibilities:- Answer incoming calls, copy and distribute correspondence, open/distribute mail, and maintain files.
- Perform administrative duties such as preparing information, data, materials, and presentation materials.
- Prepare requisitions, post purchase orders, file budget amendments and expenditure reports with SDE for Title III, district office and assessment budgets, and Seal of Biliteracy Fund.
- Order, label, and distribute materials to the appropriate program/site.
- Prepare department reports and labor claims with OCAS coding.
- Prepare contracts for services with outside vendors, agencies, and personnel.
- Prepare travel arrangements as requested by the supervisor.
- Support data compilation and preparation of the district Bilingual Accreditation Report, English Learner, Immigrant, Annual Performance Reports, and Time Distribution Records.
- Support District Language Services process, database, organization, and communication.
- Maintain, track, and facilitate Bilingual Word to Word Dictionaries.
- Assist in scheduling, planning and following up with details for parent engagement events and committees, professional learning events, tutoring, and summer projects.
- Perform all other duties as assigned.
Employment Terms: Twelve (12) month, full-time, classified hourly contract
