The Center for Advanced Innovation in Agriculture (CAIA) is seeking a highly organized and motivated Administrative Assistant to join our team. Reporting directly to the CAIA Director, this role will be pivotal in coordinating administrative and programmatic efforts for both CAIA and the Virginia Agriculture Experiment Station (VAES). The ideal candidate will possess exceptional organizational skills, a customer service mindset, and the ability to maintain confidentiality.

Key Responsibilities:
- Manage travel reimbursement, ordering, and financial reconciliation processes for CAIA and the VAES Director through platforms such as Chrome River, HokieMart, and FINTRACS.
- Coordinate logistics for events, meetings, workshops, and activities, including venue arrangements, registrations, and materials preparation.
- Develop and distribute communications materials such as newsletters, posters, websites, and booklets.
- Provide direct administrative support to the CAIA Director, Associate Director, and Program Manager.
- Liaise with on and off-campus offices to organize CAIA events, including the CAIA Big Event, Fall Kickoff, and workshops.
- Perform routine administrative tasks, including travel bookings, for CAIA and the VAES Director.
- Coordinate internal communications within CAIA to ensure engagement in upcoming opportunities and events.
- Conduct and maintain inventories of CAIA equipment.
- Fulfill other duties as assigned.

Required Qualifications

The candidate must have:

1. Experience providing administrative support and using software platforms for financial reconciliations, procurement, and travel booking.
2. Experience coordinating events or planning dynamic group activities.
3. Strong communication (both written and verbal) and interpersonal skills.
4. Ability to work well with teams within and outside the organization.
5. Strong examples of self-direction as part of a dynamic team.
6. Skills and experience to manage diverse tasks and responsibilities in a timely and professional manner.
7. Familiarity with Microsoft Office software.

Preferred Qualifications

1. Develop and execute communications (newsletters, posters, websites, booklets, etc.)
2. Aptitude in learning new software as needed.

$35,438 - $47,000; commensurate with experience.
