GRPS MISSION: Our mission is to ensure that all students are educated, self-directed and productive members of society RECEPTIONIST - FRANKLIN CAMPUS Department: Public Safety & School Security Bargaining Unit: Grand Rapids Association Education Office Personnel (GRAEOP) Hourly Rate:$19.29/hour JOB SUMMARY The Receptionist is responsible for providing receptionist services for the Franklin Campus Administrative Services along with support services for security offices located at GR University. The Receptionist is directly responsible to the Chief of Staff and Executive Director of Public Safety and School Security and will provide customer service and clerical assistance. Primary function includes the answering of the district's main switchboard and servicing as a back-up to the Public Safety and School Security office. Other essential functions may include, but are not limited to the following: Greet and welcome visitors, ascertain where they are going, ensure they have appropriately registered, contact the appropriate staff and ensure proper escort/direction is provided. Answer the District's main phone line. Provide excellent customer service to visitors and callers by answering questions, providing directions and other assistance. Track meeting scheduled in the main conference rooms of Franklin Campus, post meetings daily involving visitors. Assist the Chief of Staff & Executive Director of Public Safety and School Security with input of data for reports; serve as the back-up for providing incident report #'s for security staff. Assist Security Staff located at GR University with projects and presentations as needed. Responsible for reading and interpreting documents, Board policies procedures and practices. Interact with co-workers, administration, students, parents, and the community in positive, supportive, and cooperative ways. Maintain an accurate data base of Public Safety overtime assignments. Maintain an accurate data base and tracking system on the districts parking and registration system. Assist in the processing of iChat's and volunteering security checks. Assist in the collection and notification of delinquent parking tickets and non-sufficient fund checks. Knowledge of office administration procedures. Files papers and documents into appropriate employee files. Assists or prepares correspondence. Processes mail. Ability to operate most standard office equipment. Demonstrated regular and predictable attendance. Requires occasional light cleaning and disinfecting of front reception area to include the lobby area between meetings. Serve as back-up to the mail room when needed. Other duties as assigned. QUALIFICATIONS Education and Experience: Associate degree required or willingness to obtain, and one year of experience in office administration required. Preferred Qualification: Advanced Microsoft Word and PowerPoint skills, database skills Excel spreadsheet skills, and the ability to prepare documents quickly and efficiently using these various tools. Knowledge, Skills and Abilities: High level of interpersonal skills to handle sensitive and confidential situations and documentation. Demonstrated ability to problem solve (listen, identify problem and collaboratively problem solve). Demonstrated ability to be a self-starter who can quickly and correctly prioritize assignments to meet the needs of multiple priorities and to stay on top of the details. Demonstrated ability to make good decisions that are consistent and fair within contractual guidelines and Board policies. Attention to detail in composing, typing, and proofing materials, establishing priorities and meeting deadlines. Good to excellent spelling, grammar, and written communication skills. Excellent telephone etiquette and oral communication skills. Ability to work overtime and weekends, at times on extremely short notice. Recognition of adherence to the confidentiality requirements of the office and ability to maintain it at a high level. Experience working with law enforcement and school security. Demonstrated excellent grammar and writing skills. Demonstrated "whatever it takes and then some" attitude. Demonstrated ability to work with diverse customers.
