Overview:
Provides administrative, secretarial and/or LIS support to Lab Director, Team Leaders, and Technical Specialists. Answer phones, screens calls, direct calls to the appropriate personnel, prepares reports for manual mailing, gives out Lab results, and/or faxes via LIS. Ensures clerical supply inventory is maintained and section requests are fulfilled as requested. Accurately documents all client communication. Works closely with lab supervisory staff in monitoring outreach service quality to ensure proper specimen collection and processing, reporting and billing of tests, and delivery of client services. Actively participates in laboratory compliance activities; responsible for determining valid medical necessity documentation and pre-billing review.

Responsibilities:

Examines outreach request forms, comparing tests requested against diagnosis codes and patient information against patient demographics. Places outbound calls to physician offices for diagnostic and pertinent information. Knowledgeable in the coverage of the reception desk. Answers the phone in a professional and courteous manner. Transfers calls as needed. Provides the customer with a quality support system along with the highest level of response and service possible. Appropriately documents the calluses computer terminals, associated printers, photocopier and fax. Assists in maintenance and ordering of supplies, making certain incoming supplies and reagents are promptly received and placed in appropriate storage. Performs research regarding account issues. Responds in a professional, timely, and empathetic manner to both telephone and written inquiries from internal and external inquiries i.e., billing inquiries, patient medical record release). Types policies and procedures. Maintains a filing system for documents. Implements and presents QA monitors data, evaluates processes to make recommendations for improvement. Registers out-patient demographics for Clinical and A/P lab billing and performs general lab and Co Path billing functions. Self-directional in keeping up with State and Federal regulation changes pertaining to billing and medical necessity. Distributes mail, maintains log for books, manuals, and pamphlets in receipt book and distributes to appropriate area. Ensures publication and distribution of manuals regarding coding and medical necessity to physician services. Coordinates with administration in the procurement of supplies and services to complete projects correctly and on time; acts as a liaison between the customer and administration; arranges and participates in meetings, conferences and project team activities. Assists in maintenance and ordering of supplies, making certain incoming supplies and reagents are promptly received and placed in appropriate storage. Maintains daily scheduling of staff and tasks. Demonstrates ability to perform work assigned in a timely & productive manner.

Qualifications:

Three to five years medical office or laboratory experience with good organizational and interpersonal skills. Able to communicate effectively, pleasantly, cooperatively and discreetly with patients, physicians, hospital employees, and the general public. Able to work under pressure. Willingness to increase knowledge of laboratory/hospital functions. Demonstration of creativity, initiative and problem solving. Computer literate; familiar with Microsoft Word. Knowledge of office related equipment. Type 60 wpm.
