They are searching for a Payroll Specialist to join their global payroll team.


Payroll Specialist - Responsibilities:

  • Manages full scope of payroll process across all North American entities
  • Process semi-monthly Canadian/US payroll, ensuring all deadlines are met, including preparing payroll input, and ensuring accuracy, authorisation, and compliance and act as back-up for Global payroll processing
  • Accurately prepare, review, and enter pay related items within Payroll systems
  • Perform complex payroll calculations (e.g. retroactive payments, maternity/parental leaves, payroll adjustments) and update related systems as needed
  • Process pay reversals and payroll adjustments to maintain accuracy and completeness of employee payroll records
  • Responsible for payroll tax activities and research laws and regulations regarding taxes and payroll withholding procedures
  • Oversee the reconciliation of all government remittances and year-end filings including T4, T2200, ROE, WCB, EHT, W-2, W-2C, ACA, Form 941 and 940, RRSP and 401K
  • Manages Workers Compensation remittances for all states and provinces and applies for insurance in new states/provinces, as required
  • Engage with employees to respond to their queries and external agencies on matters relating to payroll, in a timely manner
  • Investigate payroll issues, identifying causes, and formulating recommendations for resolution and assists in the resolution and in making the final determination on these
  • Issue Records of Employment; and complete Service Canada requests for Payroll information
  • Amend ROE's and process YTD adjustments as needed of employee data
  • Assists finance team and internal and external auditors with quarterly reviews, year-end audits, and Sarbanes-Oxley ("SOX") audits of procedures and controls as needed
  • Act as main point of payroll contact for internal/external stakeholders
  • Work closely with Human Resources team to ensure timely and accurate data transition to payroll
  • Set up employee pay profiles including pay, deductions, and time entry processes
  • Reconcile month-end duties such as vacation accrual, payroll clearing, journal entries, etc.
  • Identifies and implements payroll process improvements that will scale with corporate growth
  • Ensure data integrity, accuracy of information and reconciliation of data across all systems
  • Payroll set up including state registrations and new entities, working closely with the legal team to ensure compliance
  • Other ad-hoc analysis as required from time to time
  • Review payroll documentation for accuracy through audit reports; making necessary adjustments and obtaining necessary approvals
  • Documents processes and contributes to documentation and procedures
  • May perform other related and ancillary duties as assigned (special projects and initiatives)


Payroll Specialist - Requirements:

  • Strong understanding and knowledge of Payroll legislation and procedures
  • Cross border (Canada / US) or global payroll processing experience strongly preferred
  • A minimum of 3 years of experience in payroll
  • Experiences with ADP Workforce is preferred
  • PCP payroll designation or US FPC/CPP designation is strongly preferred
  • Working knowledge of Canadian and US payroll rules/legislation and employment legislation required
  • Working knowledge of practices and procedures related to payroll
  • Detail-oriented, accurate, organised, and self-motivated with the ability to prioritise workload
  • Resourceful and proactive in finding solutions and driving continuous improvement and efficiency
  • Ability to work in a team environment and foster effective working relationships with managers, employees, vendor providers and other external and internal stakeholders
  • Ability to maintain confidentiality of information and use discretion
  • Ability to communicate effectively both verbally and in writing
  • Ability to function under pressure and meet multiple service demands
  • Proficient with Office 365 (Word, Excel etc.).
