**Customer Service Specialist**

**Key Job Functions**

**Accounting**

* Invoicing customers based on employee time entries and expenses

* A/P invoice coding and approvals

* A/R collections support for FES customers

* Creating, tracking and closing orders

* Weekly timesheet approvals

* Use vendor portals for bids and invoicing

* Manage Software renewals

**Customer Service/Inside Sales**

* Front-line for customer inquiries

* Competent in explaining engineering services and software options

* Responding to general web/email inquiries

* Quote preparation

* Quote log/tracking/follow-up

* Order entry acknowledgement

* New Vendor setup docs for clients

* All order entry and change orders

* Enter contract pricing

* Route leads to Farris RSM and reps

* Review T&C for mgmt. review

* Request new customer setup from A/R

* Booking log

* Quote log

* Contact management (leads/contacts)

* Monitoring PO# balances

**Operations & Project Support**

* Weekly forecasting

* Process mapping & process improvement

* Assist with presentations

* Research & data compilation from QBase

* Writing procedures

* Back-office functions -- interface with corp. finance & acctg depts

* Acknowledgement to clients of team members and scope of work

* Admin support as needed (doc posting, metrics, TS reports, change orders, etc.)

**Quickbase Project Management Software**

* Design/Develop/Deploy/Troubleshoot applications for Quote log, Bookings, Training Evaluations, Timesheets, iPRSM Sales

* Edit or Enhance FES PM Tool app if possible (designed by 3rd party, not native development)

* Import Data from BaanLN (Timesheet)

* Generate recurring and/or on demand reports for project staff or mgmt.

* Analyze/Interpret trends from historical data

* Update landing pages annually with prior year & current year data.

**Your Expertise:**

* Bachelor's Degree in Business or Accounting

* At least 3-5 years of experience in a similar role

* Project management experience preferred

* Strong computer skills including use of Microsoft Word, Excel, Powerpoint

* **Desired Software**: QuickBase low-code app development; iPRSM engineering software (navigation/reporting/admin); Baan LN ERP software; Device Magic form application/exporter

* Ability to work independently, under pressure and within tight deadlines

* Ability to balance multiple projects, and be attentive to detail

* Excellent written, interpersonal, and verbal communication skills

* Customer/Client focus

* Strong organizational skills and problem-solving skills
