Admin & Clerical Part-Time POSITION TITLE: Front Desk Receptionist, Part-Time

DEPARTMENT: Human Resources

REPORTS TO: Human Resources Director

CLASSIFICATION: Regular, Part-Time, Non-Exempt

HOURS PER WEEK: 20-28

POSITION SUMMARY

The Receptionist is the first point of contact for all visitors to the Chancery. The receptionist is responsible for warmly greeting staff, visitors and callers while providing exceptional service with professionalism.

PRINCIPAL DUTIES AND RESPONSIBILITIES

Serves as a primary point of contact for answering calls coming in on the Chancerys main phone number and directing calls to the appropriate office

Ensures messages left in the main voicemail box are retrieved timely and handled accurately

Welcomes and greets all visitors who come into the Chancery Offices. Announces all visitors to the proper individual or department

Directs all visitors attending meetings to the proper meeting area

Handles callers inquiries whenever possible

Maintains supplies for copy machine and fax machine and assists employees with use of those machines

Assists with copying and collating work as needed

Provides light typing services as needed

Sorts and distributes mail into proper mailboxes

Assists in the preparation of bulk mailings as needed

Aid persons in need that come into the Chancery

May be asked to perform other duties and assume other responsibilities as requested by curia offices

Keeps the lobby and reception area orderly

Excellent written, verbal, telephone and interpersonal communication skills

Ability to present oneself professionally in appearance and behavior

Ability to demonstrate problem solving skills and resolve recurring problems independently

Demonstrated ability to maintain composure and communicate in a kind, professional manner

Excellent organizational skills including ability to establish priorities, multi-task, work independently and proceed with objectives without supervision

Bilingual (English and Spanish) skills preferred

EDUCATION AND EXPERIENCE

High School Diploma or equivalent

One year of clerical experience including experience with multi-line telephone system

Proficiency in Microsoft Office Word, Excel, and PowerPoint

WORKING CONDITIONS: PHYSICAL REQUIREMENTS:

Office environment; ADA-accessible building
