JOB SUMMARY: The Bookkeeper plays a critical role in the financial operations of the organization, responsible for various accounting and financial tasks, including accounts payable, accounts receivable, financial reporting, and data analysis. This position ensures the accuracy and efficiency of financial processes and supports the overall financial health of the company.


RESPONSIBILITIES:

  • Accounts Payable/Receivable: Process invoices, vendor payments, customer invoices, and collections, ensuring timely and accurate payment processing and record-keeping.
  • Payroll Support: Collaborate with the payroll department to ensure accurate and timely processing of payroll, including reviewing time sheets, calculating wages and deductions, and preparing payroll reports and filings.
  • Journal Entries: Maintain and update the general ledger, recording financial transactions such as accounts payable, accounts receivable, cash receipts, and disbursements in accordance with established accounting principles and procedures.
  • Receipt Tracking: Track receipts for all bill back invoices and report any discrepancies.
  • Remote Deposits: Generate remote deposits to streamline financial transactions.
  • Vendor and Employee Setup: Set up vendors, clients and employees on Quickbooks Online and other relevant platforms to facilitate financial transactions.
  • Tax Documentation: Collect W-9 forms from vendors and assist in issuing 1099s when necessary.
  • Time Tracking Reports: Generate time tracking reports for teams and management to monitor work hours and project progress.
  • Document Management: File financial documents in an organized and accessible manner.
  • Process Improvement: Identify opportunities for enhancing accounting processes, procedures, and systems, and implement improvements to increase efficiency and accuracy.
  • Account Reconciliations: Prepare and reconcile various accounts, including bank statements, credit card statements, and general ledger accounts, identifying and resolving any discrepancies or outstanding items.
  • Financial Reporting: Collect and review data for various finance reports to support decision-making.
  • Financial Audits: Assist with internal and external audits by providing necessary documentation, answering inquiries, and ensuring compliance with reporting requirements.


QUALIFICATIONS:

  • Mathematical and Accounting Acuity: Strong mathematical and accounting skills to handle financial data accurately.
  • Accounting Knowledge: Knowledgeable in basic accounting and bookkeeping practices and processes.
  • Dependability: Dependable, respectful, and committed to upholding company ethics and standards.
  • Time Management: Excellent time management and organizational skills to meet deadlines effectively.
  • Analytical Skills: Strong analytical and problem-solving abilities.
  • Software Proficiency: Proficiency in relevant software, including Quickbooks Online, Google Workspace, and Microsoft Office. Must have excellent knowledge of formulas and pivot tables. Experience with payroll is a plus.
  • Independence and Collaboration: Ability to work well independently and collaboratively with team members.
  • Attention to Detail: Strong attention to detail and research techniques.
  • Financial Experience: Possess a minimum of two (2) years of bookkeeping experience, with a preference for candidates with a Bachelor's degree in Business Administration, Accounting, Management, or a related field or equivalent work experience.


WORKING CONDITIONS & PHYSICAL DEMANDS:

  • Physical Demands: Sitting 85% of the time, standing 15% of the time.
  • Working Hours: Typically, work hours are from 9:00 AM CST to 6:00 PM CST, Mondays through Fridays. Availability to work as needed on nights and weekends may be required.
  • Physical Ability: Capable of lifting 20-50 lbs. as necessary.
  • Manual Dexterity: Regular use of hands and fingers for computer use.
  • Sensory Function: Everyday use of vision and auditory senses, including exposure to blue light from computers.
  • Environment: Work primarily indoors in an environmentally controlled setting. However, occasional travel and the ability to work in-office and on-site for client related meetings and events may be necessary.
  • Communication: Daily communication with peers, media, and clients is essential to the role.
  • Cognitive Demands: Ability to maintain cognitive thinking and logical reasoning throughout tasks and responsibilities.
