In close coordination with the responsible PI(s), the Research Program Manager is responsible for supporting the development and management of a program(s) plan that aligns with the research program(s) objectives of NIH-supported research centers at JAX, including the provision of advanced administrative support to the center to effectively accomplish program activities. This position reports to the Director of Research Administration and Faculty Affairs and works closely with individual PIs in conjunction with NIH-supported research centers/programs at JAX. Working under limited supervision, the incumbent is responsible for supporting the development and management of a program(s) plan that aligns with the research program(s) objectives of NIH-supported research centers at JAX. Defines program requirements, identifies interdependencies with internal or external resources and/or service providers, and coordinates to receive their input. Develops and disseminates communications regarding the program, answers questions, tracks program progress, adoption, or performance, and provides ongoing reports to leadership/program sponsors.

This individual oversees all aspects of managerial and administrative support for assigned centers/programs, including, but not limited to support with publications, websites, site visits and annual reports, as well as outreach and communications initiatives with internal and external collaborators. They will coordinate staff, core, steering committee, and external advisory board (EAB) meetings while maintaining meeting minutes and assist with data collection and reporting, as needed. Acts as a liaison between the center/program scientific staff, external Center/Program-related resources and the Office of Sponsored Programs, Scientific Services, Information Technology, Human Resources, and other administrative areas of the institution as needed. For program development, the Research Program Manager plays a key role, in close coordination with the Center/Program PI, in planning long-term project objectives and is responsible for summarizing information and communicating to external collaborators where needed.

For project management, the incumbent sets goals and timelines, designs systems for tracking progress and keeping data records as required by the specifics of each project and schedules and prioritizes projects. He/she works closely with members of the scientific team within the centers who are responsible for daily activities associated with multiple projects on individual timelines, working together to improve systems, processes, and data collection. The Research Program Manager assists in developing funding requests, preparing the annual budget, and supports the development of project reports and manuscripts for publication in peer reviewed journals. While an advanced background in biological sciences is not required, a strong interest with some education in the sciences coupled with project management and advanced administrative support skills is expected.

The salary range is $59,429 - $86,172. Salary will be determined based on qualifications and experience.

Responsibilities:

  • Prioritize and set goals for accomplishing center's objectives. Oversees project coordination, execution, and completion.
  • Provides advanced administrative and project management support for data and sample collection, organization, and reporting in conjunction with NIH requirements and program-specific goals. Capable of collecting, organizing and extracting data from various sources and supporting digitization of reports as needed.
  • Serves as primary administrative contact for the Center arranging meetings, maintaining files, and providing logistical support for special events, meetings, and workshops.
  • Works closely with Center PI(s) and appropriate designees (such as Program Managers) to facilitate fulfillment of program objectives and requirements, including organizing meetings, preparing documents, tracking progress, and other activities to achieve the Center/Program's proposed research goals.
  • Works closely with the Office of Sponsored Programs to ensure timely, accurate and complete responses to NIH reporting requirements and requests for information
  • Assist in delivering data analyses and providing project reports.
  • Provide support with publications, grant writing, Center and lab websites, site visits, annual reports. Outreach and communications initiatives with internal and external collaborators


Qualifications:
  • Bachelor's Degree required. Knowledge of genetics, biological sciences and statistics that would normally be acquired through a master's or a Ph.D. program is preferred.
  • Minimum of 5 years' experience and proven success in program management
  • Excellent organizational skills and the ability to meet deadlines.
  • Knowledge of project management and accountability that support efficiencies in time and resources.
  • Flexibility to manage changing day-to-day activities and responsibilities on multiple projects.
  • Exceptional organizational and project management skills, including the ability to plan, prioritize, schedule, and successfully carry out multiple projects at the same time to successful conclusion with minimal supervision
  • Understanding of the need for and the ability to adhere to best scientific practices.
  • Proven ability to organize time effectively and work under time constraints, meet deadlines and prioritize work.
  • Demonstrated ability to be a strong team player; to develop and maintain a professional and positive work environment
  • Ability to creatively problem-solve and implement solutions


Knowledge, Skills and Abilities
  • Knowledge of advanced administrative systems and processes as would be acquired through five (5) years of work in a position where administrative duties were a major responsibility.
  • Knowledge and experience with project management principals and techniques, especially as they apply to funded research programs including planning, prioritization, scheduling, and facilitation of multiple simultaneous projects under minimal supervision.
  • Experience in data collection, organization, and reporting.
  • Strong interpersonal skills to allow effective program support and facilitation across a wide variety of people and personalities both internal and external to JAX including Faculty, researchers at other institutions, members of Sponsored Programs office, members of the scientific services, and colleagues in various administrative positions and departments.
  • Strong problem solving abilities and sound judgement supporting the recognition of issues requiring elevation to senior project/center staff.
  • Exceptional oral and written communication skills and attention to detail to support clear conveyance and receipt of information and ideas.
  • Proven time management skills ensuring capabilities of working under time constraints, meeting deadlines and prioritizing work.
  • Strong team player with capability of contributing to a successful professional and positive work environment.
  • Able to work independently, creatively problem solve and drive solution implementation.
  • Experience in website development and maintenance to ensure webpages are kept maintained and current.
  • Experience assisting in budget preparation and administration.
  • Some background in basic science and an interest in the sciences.
