Job Description: Mail Room ClerkPosition: Mail Room Clerk
Pay: $16-$17/hour
Schedule:

  • Monday to Friday, 8:00 AM - 5:00 PM with a 1-hour break
  • OR 8:30 AM - 5:00 PM with a 30-minute break
Position Summary: The Mail Room Clerk is essential in managing the flow of mail within the organization. This role involves opening, sorting, prepping, scanning, and organizing incoming and outgoing mail, ensuring efficient and accurate distribution and record-keeping. The Mail Room Clerk will be familiar with third-party administrator business processes, policies, and procedures to effectively perform their duties.Essential Duties and Responsibilities:
  • Open envelopes by hand or using a machine.
  • Stamp the date and time of receipt on all incoming mail.
  • Sort mail by destination and type, including returned letters, adjustments, bills, orders, and payments.
  • Scan mail and prepare it for distribution.
  • Readdress undeliverable mail with incomplete or incorrect addresses.
  • Inspect outgoing mail for proper appearance and seal envelopes by hand or machine.
  • Stamp outgoing mail using a hand stamp or postage meter.
  • Fold letters or circulars and insert them into envelopes manually or using an inserter.
  • Distribute and collect mail throughout the organization.
  • Weigh mail to ensure correct postage is applied.
  • Keep accurate records of registered mail.
  • Prepare mail, such as applications, returned mail, and verification documents, for scanning.
  • Create batches for document scanning, utilizing appropriate separator sheets.
Qualifications:
  • High school diploma or equivalent.
  • Basic understanding of mailroom procedures and equipment.
  • Ability to handle physical tasks such as lifting and carrying mail.
  • Strong attention to detail and organizational skills.
  • Proficiency with basic office equipment and computer systems.
Skills and Abilities:
  • Excellent time management and ability to prioritize tasks.
  • Strong communication skills, both written and verbal.
  • Ability to work independently and as part of a team.
  • Familiarity with third-party administrator business processes is a plus.
