Holy Innocents' Episcopal School is seeking a College Counseling Office Assistant. The College Counseling Office Assistant will be responsible for working directly with the college counseling team to support and assist all office related functions. This position requires professionalism, discretion, good judgment, and adherence to confidentiality. Under the supervision of the Director of College Counseling, responsibilities include:

College Counseling Office Assistant Responsibilities

  • Provide administrative support to the College Counseling team, including, but not limited to: arranging student appointments and meetings, scheduling college visits, and completing prep work for all-class and counselor cohort and individual meetings.
  • Perform daily administrative duties including data entry, ordering team supplies, answering phone and directing inquiries, maintaining electronic files, hard copy files, photocopying, etc.
  • Greet students, parents, faculty, college representatives and other guests for daily and special programs.
  • Assist with coordination of standardized exams (APs, PSAT, etc.).
  • Partner with the Upper School Administrative Assistant to track daily attendance.
  • Coordinate with Admissions and Assistant Principal for Academics with the updating and accuracy of all student transcripts, including students transferring both in and out of the school.
  • Maintain academic records and management of student academic files.
  • Manage and assist the coordination and submission of transcripts and supporting college application materials, both electronic and manual.
  • Serve as liaison with GSFC and NCAA; submit transcript and other information required to determine student eligibility.
  • Update data in SCOIR for all upper school grade levels, including login, usernames, passwords, student/parent information, GPA, and standardized test scores.
  • Utilize SCOIR to manage the timely completion of faculty letters of recommendation and reports for college applicants.
  • Fulfill transcript requests for current students and alumni.
  • Coordinate facilities requests and setup for events such as grade level college nights, family programs, etc.
  • Maintain shared team calendars for the office by scheduling team events, programs, and other meetings as needed.
  • Process invoices for the College Counseling Office's business purposes.
  • Work collaboratively with other staff members to promote efficiencies and to develop and maintain goodwill, respect, and cooperation, providing colleagues with assistance as necessary.
  • Other duties as assigned.


Required / Preferred Education, Skills, and Abilities
  • Bachelor's degree preferred.
  • A professional supportive manner when working with all constituencies.
  • Minimum 3 years of administrative experience including scheduling, planning, and coordinating calendars and projects.
  • An understanding and appreciation of working in a diverse environment.
  • Experience in an academic institution (secondary or postsecondary) preferred.
  • Fluency in technology, particularly SCOIR and Blackbaud, is preferred.
  • Experience working with adolescents in an educational setting is preferred.
