The Order Processing Specialist is a key position within our Supply Chain Management to ensure we provide the support and excellent customer service to our 800 field personnel & managers. Purchasers will process part/product/machine orders and then purchase from multiple vendors for our 100 service centers in the U.S., Canada and Mexico.
REQUIREMENTS AND RESPONSIBILITIES
- Coding requisitions in preparation for processing order documents
- Generating purchase orders for specific vendors
- Generating pick tickets for The ICEE Company Parts Warehouse
- Transmitting purchase orders to vendors; forwarding pick tickets to the Corporate Parts Warehouse. Includes entering PO numbers and line items on several suppliers websites
- Ensuring that emergency orders are submitted in a timely manner and before cut-offs.
- Entering PO and pick ticket information into intra-company programs
- Responding to inquiries about existing orders; occasional expediting tasks
- Fill in for Order Tracker, including status and shipment tracking
- Filing (maintain / update e-files)
- Contacting vendors for parts information and pricing
- As machine and parts knowledge is gained, tasks will include responses to part number inquiries, both via phone and via e-mail
- Miscellaneous order-related data entry, as assigned
- Other tasks may be cross-trained and assigned.
COMPETENCIES
To perform this job successfully, the Order Processing Specialist must be comfortable working with ICEE's in-house Customer Service department system and JD Edwards.

- Ability to access and maneuver online - multiple Supplier and Carrier websites
- Ability to learn new programs and maneuver in them throughout the day
- Must be organized
- Quick learner with prior basic purchasing skills in previous positions
- Excellent oral, written, and problem-solving communication skills
- Knowledge of JD Edwards
- Knowledge of Microsoft Based Systems to include but not limited to Word, Excel, and Outlook
- Demonstrated ability to make quick and accurate decisions when dealing with Customers
- Strong interpersonal skills in order to effectively communicate with Customers, Vendors, Employees, and Upper Management
- The capacity to work under pressure and the adaptability to work in an ever-changing environment
MINIMUM REQUIREMENTS
- High school diploma or equivalent
- Previous expediting or order tracking experience preferably supporting multiple Service Centers
- Capability to type 35 WPM, and the ability to type for up to 90% of a workday
- Background in Beverage or Manufacturing industry is a plus
