General Responsibilities:

In this position, the ideal candidate will work to ensure the accurate and timely processing of payroll and related functions along with processing cash entries for three to five divisions within Samuel, Son & Co. (USA), Inc. Work is primarily payroll processing but includes some accounting and clerical duties. The work is characterized by a high degree of professional judgment, integrity, confidentiality, communication skills, and accuracy. The Payroll Specialist is a highly motivated, problem-solving, multitasking, and efficient individual who works well in a fast-paced, dynamic environment.

Essential Duties:
  • Analyzes, prepares, inputs, previews, and audits payroll data accurately and timely for divisions according to their processing dates.
  • Ensures compliance with all applicable state and federal wage and hour laws.
  • Reconciling totals between the ADP payroll system and the time and attendance tracking system.
  • Work with management to ensure timecard accuracy and timeliness of timecard changes.
  • Verifies that all payroll-related changes relative to each payroll cycle are entered into ADP and the time and attendance tracking system.
  • Compiles and enters payroll data such as garnishments, retro pay, vacation time, adjustments, etc.
  • Reconcile payroll transactions to payroll accrual for labor transactions scanned through the time and attendance system.
  • Prepares weekly, monthly, quarterly, and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.). In addition, leadership reports and reports related to Company and third-party audits will be necessary upon request.
  • Responsible for reconciling 401k deductions, distributions, and monthly reporting to third parties.
  • Stays current on payroll systems to achieve alignment with HR benefits and other related systems to ensure effective accounting support.
  • Assist with the month-end financial closing process as required.
  • Assist with internal/external audits.
  • Performs review and audits of related State/Federal tax and W-2 reports prior to issuance by ADP.
  • Answer employee questions regarding payroll checks, deductions, tax withholding, garnishment, or judgment requests.
  • Perform other accounting, financial, or administrative tasks as required.
Equipment Knowledge:
  • Operate Microsoft products inclusive of Excel and Word, database management, and record-keeping programs.
  • Apply computer applications related to payroll and accounting functions.
  • Operate a ten-key calculator rapidly and accurately as required by the position.
  • Basic typing and computer system skills needed as well as experience with general office equipment.
Education/ Experience Required:
  • Minimum of two years of experience with payroll processing system experience. ADP Workforce Now experience is a strong plus.
  • Associate Degree in Accounting or high school diploma with 3-5 years related experience.
  • Strong knowledge of Federal and State tax regulations.
  • Ability to operate accounting and payroll software programs.
  • Strong mathematical skills.
