Job Title: Admissions/Attendance Clerk

Reports to: Campus Administrator

Primary Role and Purpose:

Working under the direction of the Campus Administrator the Admissions/Attendance Clerk performs detailed clerical functions primarily pertaining to student attendance and tardiness, and student admission, and enrollment; a high degree of attention to detail and accuracy in recordkeeping is essential to perform these duties; does other related clerical work and tasks as required

Education/Experience:

* High School Diploma or GED required.

* Associate's Degree or completion of 48 college hours preferred.

* Bilingual in English and Spanish required

* Satisfactory background check

Responsibilities and Duties:

Attendance Related

* Perform clerical activities and functions related to student attendance and tardiness requiring familiarity with policies and regulations.

* Accurately maintain student information received, and other paperwork and forms.

* Review notes brought from students for forgeries and other discrepancies; carefully audit all lists and files to eliminate legitimate reasons for absence before referring students to administration.

* Input, modify and retrieve student attendance information; verify daily and by class-period student attendance records.

* Maintain physical and electronic attendance records; prepare and print reports as required.

* Maintain log of incoming calls from parents listing students who will be absent; telephone students' parents daily to verify student absences.

* Maintain master file of students leaving school for various reasons each day.

* Monitor absenteeism and provide information to administration and teachers regarding student attendance.

* Investigate and follow up on student absenteeism and report findings of truancy to administration.

* Prepare notification to parents about excessive absences and/or tardiness.

* Prepare paperwork for truancy court; attend the hearings.

* Answer and direct incoming phone calls, take reliable messages, and direct calls to the appropriate staff.

* Compose letters, memos, or reports of a routine or recurring nature, or notification to parents and students.

Admissions and Enrollment

* Perform clerical activities and functions related to student admissions, enrollment, records, and/or transcripts requiring familiarity with policies and regulations.

* Accurately maintain student information received, and other paperwork and forms

* Greet and direct visitors to the appropriate staff.

* Assist with preparation of materials for mailing(s), including preparing labels, stuffing envelopes, etc.

* Monitor restrooms, collect hall passes from students; maintain sign-in log.

* Notify parent about student in event of emergency or as necessary and maintain student sign-out log.

* Assist with directing students to appropriate personnel if sent to office due to dress code violations/dress loan program.

* Assist with incoming mail, and packages/boxes and direct to appropriate department/ personnel; maintain postage machine.

* Comply with campus/district policies and state and federal laws/regulations.

* Adhere to campus/district safety policies and procedures.

* Participate in staff development training programs to as needed.

* Participate with special events as assigned.

Specific vision abilities required by this job include close vision such as the ability to read handwritten or typed material on computers, and the ability to adjust focus. The position requires extensive use of computers and frequent use of hands and fingers to enter or type data.

This position requires the individual to meet multiple demands from several people and interact with the public and other staff. Ability to hear and understand speech at normal levels. Ability to communicate so others will be able to clearly understand normal conversations.

Individual must be able to work long and irregular hours and handle stressful situations.
