Facilities Purchasing and Inventory Clerk


Job Details

With limited direction, the Facilities Purchasing and Inventory Clerk will be responsible for the purchasing and inventory of materials, parts, and supplies for the Facilities and other departments, and prepare contracts for contracted maintenance per established policies, procedures and regulations. Position supports Facilities Department Operations, Services, Administration and Projects activities. This position supports other department's routine expense account procurement to serve as a centralized purchasing function for Kendal.

Essential duties, responsibilities, and capabilities include the following:

  • High level of attention to detail, be well organized and strong clerical skills
  • Retains a continual awareness and willingness to act and lead process improvement for all tasks associated with the job of purchasing, inventory and receiving.
  • Documents processes that are utilized in the performance of all services provided.
  • Works willingly with others to enhance and improve processes pertaining to procurement and inventory control.
  • Initiates the bid/quote process for materials, parts and equipment. Prepares bid document or other communication to solicit competitive pricing from vendors.
  • Promotes, trains and engages other departments on purchasing services and make process improvements to better serve these customers.
  • Purchasing
    • Determines and administers established vendor relationships and develops supply sources to foster cooperative working relationships.
    • Negotiates and interviews suppliers to obtain best prices in accordance to the specifications.
    • Confers with suppliers concerning late deliveries, back orders, and out of stock. Meets supplier representatives on a regular basis, to communicate the needs of the facility.
    • Prepares purchase orders on behalf of the Facilities and other departments using requisitions and other forms of specification documentation. Monitors purchase order fulfillment to assure requestor needs are met. Routinely communicates with requester the procurement status, delivery date expected, and resolves unattainable expectations as discovered. Is responsible to administer the processes for purchase order authorization and routing.
  • Inventory Management
    • Takes responsibility for organized and physical space of identified warehouse storage rooms.
    • Takes responsibility for tracking and reporting of inventory on hand and making recommendation for the addition and deletion of inventory items and count on hand. Is responsible for managing the incoming and outgoing supplies and products within the department.
    • Keeps all items stored properly and in appropriate protective wrap and packaging as per manufacturer's instructions or practice of general care and protection.
    • Establishes and determines procurement priorities based upon requester needs.
    • Receives all shipments at the facilities building, warehouse storage areas and other locations on the property. Transfers all shipments delivered elsewhere on the property to receiving or to end user specified location. Received items are inspected, compared against the ordering information and tagged with the work order number and requester name. Inventory is adjusted as applicable and/or issued to work order and/or project.
  • Other
    • Assures the hazardous material policy is compliance regarding receipt of authorized items only.
    • Reviews and facilitates all requests for removal and disposal of surplus supplies, materials, parts and equipment.
    • Generates reports related to expense and capital item inventory levels planned versus actual.
    • Maintains the complex filing system for procurement and inventory. Routinely completes documentation and records for satisfactory completion of assigned tasks. Examples include; work orders, purchase orders, preventative maintenance records, log keeping and other documents as required.
    • Generates work order requests for all observed maintenance issues.
    • Is ready and will to work other assignments as directed.


Pay Range:$24.59 - $28.28 per hour

Work Schedule:Monday to Friday, 7:30 AM - 4:00 PM
