Position Summary:

We're looking for a Member Records Specialist who will improve profitability, productivity, member services, and communications with our grower-owners as a member of the Finance and Administration Center of Excellence, reporting to the Director of Finance and Administration, National Grape Co-operative.

Where You'll Work

This role will be based out of our National Grape Co-operative Westfield, NY headquarters where you will be immersed in a dynamic workplace where innovation thrives and collaboration is key. Our in-office schedule is designed to maximize collaboration & relationship building.

What You'll Do:

The Member Records Specialist is responsible for the development, maintenance and control of patron marketing agreement records, harvest receipt data, and other information relative to individual patron and non-patron files. As a team leader, you will collaborate with field and administrative staff in all regions to ensure accurate documentation and entry into the National system. You will work closely with the Director of Finance & Administration and the Finance & Administrative Services Specialist to develop and implement policies and procedures that enhances patron service and operational efficiency. Additionally, you will assist with the National budget and address special projects as assigned.

Responsibilities include:

  • Maintain and manage patron records, including vital statistics, marketing agreement status, crop history, payment and equity history
  • Audit and control of membership and marketing agreement transactions to ensure compliance with National policies and internal procedures
  • Distribute necessary documents to new and departing members, ensuring eligibility and compliance with patron programs
  • Assist in reviewing and developing hauling rate and re-apportionment proposals
  • Prepare quarterly membership, acreage, marketing agreement, and budget Board reports
  • Respond to inquiries related to patron and non-patron records through verbal and written communications
  • Administer the Member Investment Credit Program, including issuance, redemption, and policy compliance
  • Manage transfers and audit of Allocation Credits, and assist with annual issuance and redemption
  • Assist with maintenance and control of direct deposit information, crop liens, assignments, deductions, hauling allowance rates, and member service dates
  • Assist in developing National operating budget and perform monthly variance analysis
  • Handle monthly journal voucher entries; initiate purchase orders; and facilitate A/P requests, and invoices
  • Prepare information for the annual audit of Harvest Records, and other financial data as requested
  • Perform other tasks and special projects as assigned by the Director of Finance & Administration
Harvest Related Duties:
  • Manage and audit the receipt of delivery records into the National system of record, ensure receipts are recorded under the correct marketing agreement, and total receipts agree between National system and Welch's receiving locations
  • Responsible for management and proper issuance of all patron harvest advance payments pursuant to authorized payment rates and National Board policies
  • Perform daily and weekly receipt and payment related statistical reporting
  • Work closely with Director of Harvest to facilitate timely and accurate processing of seasonal staff expense reports and invoices
  • Collect harvest extra compensation hours from staff; compile and submit report to Payroll semi-monthly
  • Initiate purchase, distribution and inventory control of seasonal forms and supplies for scalehouse operations
  • Assist with collection of patron pesticide application records, sustainability surveys, vineyard block identification and farm names, required pre-harvest data, and crop allocation records
  • Work closely with Sr. Solution Delivery Lead (IS) to identify and implement updates to the Seasonal Processing Data Collection System, and maintain/update SPDC user manual
  • Compile Crop Data Book annually

What You'll Need:
  • Bachelor's degree in business management and accounting or related field
  • 2-5 years business experience - experience in agriculture cooperative or food manufacturing environment is preferred
  • Proficiency in Microsoft Tools (Excel, Word, PowerPoint, Access, SharePoint, Teams)
  • Ability to prioritize and balance multiple tasks, meet deadlines, and adapt quickly to change
  • Show consistent and appropriate responsiveness to both urgent and non-critical matters
  • Demonstrate accuracy and thoroughness relative to financial matters and data integrity
  • NY State Notary a plus - is not required
  • Master's Degree a plus - is not required
