Job Description

Under general supervision, the Administrative Assistant performs multi-functional assignments in support of

the Plant Manager and exercises judgment and decision making authority within defined policy and parameters.

  • Work with all managers compiling production and usage on a daily and monthly cycle.
  • Assist in writing and maintaining plant purchase orders for raw material, plant parts and maintenance supplies.
  • Assist and maintain all office functions including and not limited to purchasing, receiving, customer service, training and orientation for new hires; Office and plant functions such as luncheons and incentive programs.
  • Assist and track movement of incoming raw material and outgoing finished product.
  • Compile and maintain weekly reports for production, operating hours, sales, payroll hours, inventories.
  • Responsible for weekly payroll for hourly employees. Responsible for reporting payroll information to corporate payroll department and Plant Manager.
  • Responsible for record keeping of HSE room.
  • Assist in gathering and completing AR's
  • Maintains confidential files such as personnel and payroll records.
  • Prepare and maintain plant invoices.
  • Maintain OSHA 300 log
  • Responsible for submitting certain documentation to the Illinois Environmental Protection Agency and the Village of Utica and paying associated permit fees.
  • Maintain and remind individuals of monthly, bi-monthly, and yearly Compliance Calendar responsibilities.
  • Understand PQ Principles (PQP) and how they are implemented in the site organization, rules and procedures.
  • Other duties as directed.
  • These duties are not all-inclusive.


Qualifications
  • 3 - 5 years administrative experience
  • 5+ years of customer service experience
  • MS office suite (word, excel, outlook, sharepoint)
  • Ability to multi-task and prioritize tasks

  • Participation in risk assessment audits as applicable
  • Understand PQ Principles (PQP) and how they are implemented in the site organization, rules and procedures
  • Completes HSE training requirements identified for the job in a timely manner
