Summary:

The Executive Assistant will provide comprehensive support to the executive team, ensuring the smooth and efficient operation of the organization. This role requires a highly organized and proactive individual with excellent communication skills and the ability to manage multiple tasks simultaneously. The ideal candidate will have experience in handling a wide range of administrative and executive support-related tasks, be exceedingly well-organized, flexible, and enjoy the challenges of supporting a diverse group of executives.

Duties and Responsibilities:

Administrative Support

  • Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
  • Coordinate executive communications, including taking calls, responding to emails, and interfacing with clients.
  • Prepare internal and external corporate documents for team members and industry partners.
  • Schedule and coordinate meetings, events, and conferences.
  • Compile and distribute meeting agendas, take meeting minutes, and follow up on action items.
Project Management
  • Assist in the preparation of presentations and reports.
  • Handle sensitive information with the utmost confidentiality and discretion.
  • Manage special projects as assigned by the executive team.
  • Coordinate and track project timelines, ensuring deadlines are met.
Office Management
  • Maintain office supplies and inventory.
  • Oversee the maintenance of office facilities and equipment.
  • Liaise with IT and other departments to ensure smooth operations.
Relationship Management
  • Serve as a liaison between executives and internal/external stakeholders.
  • Foster positive relationships with clients, vendors, and employees.
  • Coordinate and manage executive team communications and relationships.
Education/Experience:
  • Bachelor's degree in Business Administration, Communications, or related field preferred.
  • 3 - 5 years of experience as an Executive Assistant or in a similar administrative role preferred.
  • Proven experience in managing multiple tasks simultaneously.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Experience in handling confidential information with discretion.
