Administrative Assistant

This position requires an active Secret clearance.

The Administrative Assistant shall provide administrative support per requirements of the executives and directorates. Plan and produce correspondence, reports, proposals, memos, and other documentation. Operate spreadsheet software such as Excel, and presentation software such as PowerPoint to produce finished documents. Proofread completed documents. Provide copying and production support as needed.

Compensation & Benefits:

Estimated Starting Salary Range for Administrative Assistant: Pay commensurate with experience.

Administrative Assistant Responsibilities Include:

  • Prepare a wide variety of correspondence, reports, and compose routine non-technical correspondence, such as letters of acknowledgement or notification.
  • Consolidate and finalize information for various reports; gather and summarize information from files and documents for supervisor's use in responding to inquiries; edit documents for correct grammar, spelling, capitalization, punctuation, and format.
  • Screen incoming mail, receive telephone calls, and greet visitors.
  • Maintain calendars, schedule appointments, meetings, and conferences.
  • Review and update office procedures to ensure effective and efficient operations regarding the clerical, procedural, and administrative work of the unit.
  • Establish, maintain, purge, and dispose of office records and files in accordance with 1 AF's records management plan.
  • Travel arrangements including scheduling transportation, making lodging reservations and preparing travel orders and vouchers.
  • Prepare, consolidate, submit, and maintain time and attendance records in accordance with established procedures.
  • Gather all requisitions for office supplies, printing support, and related materials and services.
  • Prepare correspondence and reports and compose routine nontechnical correspondence, such as letters of acknowledgement or notification.
  • Consolidate and finalize information for various reports, gather and summarize information from files and documents for the Director and Deputy Director's use in responding to inquiries, edit documents for correct grammar, spelling, capitalization, punctuation, and format.
  • Maintain Director and Deputy Director Calendar, schedule appointments, meetings, and conferences.
  • Review and update office procedures to ensure effective and efficient operations regarding the clerical, procedural, and administrative work of the unit.
  • Manage all taskers assigned to A9 (Task Management Tool, Executive Tracker) to include daily monitoring, posting, accepting, or declining, and downloading related documents.
  • Performs other job-related duties as assigned.

Administrative Assistant Experience, Education, Skills, Abilities requested:
  • High school diploma or equivalent education required with 3-5 years of administrative assistance experience.
  • Previous experience in providing administrative assistance, including tasks such as managing schedules, handling correspondence, and organizing office operations.
  • Experience in maintaining office efficiency, coordinating administrative activities, and ensuring a smooth workflow.
  • Strong organizational abilities to manage tasks efficiently, prioritize assignments, and maintain order in the office.
  • Effective written and verbal communication skills to interact with colleagues, clients, and external partners.
  • Thoroughness in handling administrative tasks with precision, ensuring accuracy in documentation and correspondence.
  • Familiarity with office software, including word processing, spreadsheet applications, and email systems.
  • Effective time management skills to prioritize tasks and meet deadlines in a fast-paced administrative environment.
  • A customer-oriented approach when dealing with internal and external stakeholders, providing assistance and support as needed.
  • Adaptability: Capacity to adapt to changing priorities, multitask, and handle diverse administrative responsibilities.
