Sercos Maritime Engineering Operation (MEO) is seeking a motivated, resourceful, team player to join our team as a Navy Support Administrative Assistant in Arlington, Virginia. You will be providing senior level administrative support working directly with our Directors and VP, leadership team.

Serco supports the US Navy and other commercial maritime customers on a variety of contracts and different vessels. Our MEO team is involved in all stages of ship and ship system design and is actively working on more than 40 different contracts at any given time. As an Administrative Assistant, you will be a critical extension of your leaders, frequently finding yourself in the center of everything that happens across the team.

In this role, you will:

  • Provide administrative support to the management team, ensuring that operations run smoothly and efficiently.
  • Assist in the preparation of management plans and reports.
  • Perform analysis, development, and review of program administrative operating procedures.
  • Draft and edit reports, proposals, and other documents in support of customer requirements.
  • Track and organize various projects and tasks.
  • Arrange meetings and coordinate travel and expenses.
  • Maintain management teams schedules and calendars.
  • Handle confidential information with discretion.
  • Anticipate management needs and proactively provide solutions.
  • Initiate, process, and complete moderately complex purchase orders.
  • Coordinate with accounts payable to resolve any credit holds or complex pricing problems to ensure prompt payment and avoid delays to end user; coordinate with receiving departments to resolve receipt problems promptly to not cause any delay.
  • Coordinate the procurement of materials, products/services, and equipment necessary for the operation of the project or program.
  • Help maintain quality standards according to ISO 9001:2015.


Qualifications:

To be successful in this role, you will have:

  • Associate degree, or the equivalent combination of education, technical training, or work experience plus 2 to 4 years experience working in an administrative role.
    • In some cases, educational requirements may be adjusted or waived for more than 5 years of applicable work experience.
  • Proven experience in an administrative role
  • The ability to work well in a fast-paced team environment is essential
  • High proficiency in Microsoft Office Suite
  • Highly organized and able to manage multiple tasks
  • Attention to detail and accuracy
  • Excellent problem-solving abilities
  • Ability to travel 10%

Additional desired experience and skills:

  • Knowledge of government contracting environment, management/business plans, and program reporting.
  • Knowledge of ISO 9001:2015 standards
  • A security clearance of an appropriate level may be required after employment.
  • Advanced Microsoft Office Skills such as VBA or Macro understanding to automate repetitive tasking
